  73432BRJob Posting Title:Operations AssistantDepartment:Patient Services-Patient Care OperationsAutoReqId:73432BRStatus:Full-TimeStandard Hours per Week:40 Job Posting Category:Hospital OperationsJob Posting Description: The Operations Assistant serves as a liaison to Engineering, Environmental Services, Health Technology Management, Materials Management, Safety, and other departments as needed to resolve equipment, supply, safety, compliance, operational, and cleaning issues.

  Responsibilities include, but are not limited to:

  Regulatory, Safety, and Compliance

  Participates in daily safety huddles to address safety and regulatory compliance.

  Visually monitors environment for compliance with regulatory agencies, including JCAHO to include the following equipment checks, fire and life safety.

  Monitoring of compressed gas cylinders.

  Participates in Engineering/Safety/ESD rounds. Maintains compliance with safety requirements. Arranges annual safety inspections of electrical equipment. Works with Safety personnel to ensure proper storage of supplies and equipment.

  Conducts weekly audits, including eye wash station and organizes all storage areas/rooms, elevator landing, and emergency equipment.

  Equipment Management

  Interfaces with staff continuously throughout the day related in regards to equipment needs and quickly problem solve issues.

  Maintains equipment and furniture inventory and monitors to ensure it is in good working order.

  Maintains an accurate list of medical equipment to include information such as serial number, date of purchase, repair history, etc.

  Collaborates with Health Technology Management to resolve medical equipment issues.

  Conducts inventory of equipment and notifies supervisor of missing items. Identifies and tags items in need of repair and develops tracking system to ensure return to area.

  Brings all unresolved equipment issues to the attention of the Administrator/Coordinator.

  Ensures all equipment is cleaned in a timely manner.

  Responsible for stocking and organizing supplies.

  Administrative and Patient Experience Rep

  Answers, screens, and routes phone calls. Responds to requests for information or assistance within scope of knowledge and authority.

  Greets and directs patients, families, and visitors. Monitors daily schedule and patient flow to optimize resource utilization and patient experience. Communicates with clinicians and supervisors and routes patients/visitors to maintain efficient patient/visitor flow.

  Utilizes systems to manage patient information and requests, including ALICE, EPIC/Prelude ADT, Bed Management, I Need It, etc. Prepares routine forms required for encounter.

  Communicates with other departments to coordinate ancillary clinical/administrative services.

  Collects and organizes medical records and information. Prepares, routes, and tracks administrative forms and documents.

  Performs routine administrative duties, such as opening and sorting mail, photocopying materials, and sorting, collating, and distributing documents.

  Organizes and schedules conferences, seminars, and other department-sponsored programs or events. Organizes documents, presentations and logistics for meetings and events.

  To qualify, you must have:

  High school diploma or GED required

  One year of customer service, administrative, or related experience in a healthcare setting required

  Basic knowledge of clinical and operational needs of the programs /units

  Ability to interpret, understand, and apply safety and compliance guidelines

  Basic critical thinking skills, with the ability to resolve problems by applying knowledge and sound judgment, assessing each situation, and escalating appropriately

  Basic knowledge of operational, safety and compliance needs of the unit/departments supported.

  Skilled at providing positive and effective customer service that supports departmental and hospital operations

  Ability to appropriately respond to sensitive or urgent situations

  Ability to manage data in medical systems such as ALICE, EPIC/Prelude ADT, Bed Management, I Need It, etc

  Ability to promote and demonstrate teamwork
