CLASS TITLE: Exposition and Civic Facilities Office Administrator IIPURPOSE OF THE CLASSIFICATION:
Performs diverse clerical and administrative tasks for the management ofHatbox Event Park, Event Center, Hangars, Dance Hall, RV Park andMuskogee Civic Center. Works independently to handle officeresponsibilities, coordinate schedules and support the overallefficiency of event center operations.
ESSENTIAL TASKS:
Answers inquiries, manages phone calls and directs visitors to theappropriate individuals.
Handles payroll functions, providing guidance to staff on relatedprocesses.
Coordinates grants, outside agency requests and donation processes,ensuring proper approval and accounting.
Reviews and maintains budget controls, assisting in the preparation ofthe annual budget.
Manages office files, prepares employment and stats changes and preparesincident reports.
Orders and dispenses supplies, sets up purchase orders and handlesinvoices.
Arranges conferences, meetings and travel reservations; maintainsscheduling and event calendars.
Prepares correspondence, reports and memoranda; maintains filingsystems; operates office equipment.
Performs various administrative tasks as assigned. Must report to workon a regular and timely basis.

REPORTING RELATIONSHIPS:
The Exposition and Civic Facilities Office Administrator II reportsdirectly to the Assistant Parks Director for Exposition and CivicFacilities.
The Exposition and Civic Facilities Office Administrator II does nothave any direct reports.
QUALIFICATIONS:
Training and Experience: High school diploma or equivalent withspecialized course work in general office practices such as computeroperation, filing, accounting and bookkeeping and five (5) years ofincreasingly responsible related experience including supervisoryresponsibilities or an equivalent combination of related education andexperience.
Knowledge, Abilities and Skills: Considerable knowledge of computers andelectronic data processing; knowledge of modern office practices andprocedures. Ability to effectively meet and deal with the public;ability to communicate effectively verbally and in writing; ability tohandle stressful situations. Skilled in typing to effectively completework assignments, type correspondence, disseminate information to staffand others, etc.; skilled to effectively provide written and oralcommunications. Demonstrated knowledge of standard office routines andprocedures and of principles and practices of office management andsupervision. Must be proficient with computers and other officeequipment with considerable knowledge in WordPerfect and Microsoftprograms. Fluency in Spanish preferred but not required.

While performing theduties of this job, arm and hand steadiness and finger dexterity will beneeded enough to use a keyboard and telephone. Occasional sitting andstanding is required. Occasional lifting and carrying of objectsweighing up to twenty (20) pounds. Occasional reaching, balancing,stooping, kneeling, crawling, twisting, handling and repetitivemovements. Vision, speech and hearing sufficient to perform essentialtasks. Punctuality and reasonable attendance is essential. Must submitto drug screening and fitness to work physical exam.
Licenses and Certificates: Possession of a valid Oklahoma Class Ddrivers license is required. Requires ability to receive within three(3) months of employment, and maintain, a Notary Public Certification.
WORKING ENVIRONMENT: Work in this classification is primarilyindoors in an office environment. Will travel to other City locations asrequired.
MINIMUM PAY: \$17.09/hr. Excellent employee benefits (insurance,vacation leave, sick leave, retirement, holidays).
WORK HOURS: 8:00 a.m. to 5:00 p.m., Monday through Friday.
