A Day in the Life
Provides general administrative support including preparing communications and maintaining schedules
Performs normal office functions such as setting up and maintaining files; arranging meetings and conferences; Gathers, compiles and reports on information relevant to supervisor's assignment
Organizing and dealing with incoming emails, meetings, including welcoming and looking after logistics / administrative support of visitors
Dealing with correspondence, making notes and minutes. drafting reports and communicating messages to stakeholders.
Support the documents, briefing papers, reports and presentations, expense submissions
Organizing and attending meetings, and ensure leaders are well-prepared for meetings this may include overall arrangement and scheduling of meetings, preparing agenda, catering menus, room and equipment set up.
Travel Arrangements - pre-planning where necessary. Spontaneous adjustments to travel, meetings or other requirements.
Organizing large-scale meetings / events on behalf leaders (E.g. Townhalls, ELT meetings), managing logistics, working with cross functional teams to ensure execution of the meetings
Work closely with other Executive Assistants across function, liaising and collaborating on projects as and when required.
Maintain and record personal records and documents to include but not limited to visa applications, travel document preparation etc.
Must Have:
A Diploma in any field with at least 3 years’ experienceYour Profile:
Solid experience in an administrative role
Excellent written and verbal communication skills
Flexible team player, willing to adapt to changes and unafraid of challenges
Ability to maintain confidentiality of information related to the company and its employees
Excellent organizational skills; attention to detail, ability to plan and prioritize
Experience in Project Management, data analysis and trending
