The Clinic Services Assistant II provides daily leadership presence to the front office team, handles day to day issues that arise for the front desk team and maintains a welcoming, friendly profile in the clinic and is responsible for the professional and efficient operation of both reception check-in and checkout procedures. This role also assists with phones and schedules future appointments and/or procedures, resolves non-clinical patient issues, provides backup and coverage as needed and helps coordinate provider schedules and appointments. The person in this position will be prioritizing between these functions on an ongoing basis to improve efficiencies of clinic schedules and reduce patient waiting times. This position may be required to float to other departments at the discretion of the manager based on clinic needs.
Clinic Services Assistant II Overview
Key responsibilities include but are not limited to:
Patient reception
Appointment Management including: Specialty clinic scheduling, Audit schedule for future schedule errors, Insurance Audit, EPIC templating, Insurance enrollment assistance, Petty Cash reconciliation
Requests/obtains/sends patient reports for patient visit, medical records and diagnostic test results for patient visit to scheduled provider office
Completes chart prep and scans medical information
Transcribe/abstract information into EMR as defined by clinic practice
Communicates patient information to business office as needed
Greets callers in a professional manner using customer service scripts and standards
Professionally screens and directs incoming calls to appropriate personnel
Accurately documents and relays phone messages via the Electronic Medical Record (EMR) tasking system
Pull phone answer reports
Minimum Qualifications:
Knowledge of basic medical terminology and keyboarding skills
Knowledge of environment of care and infection control policies
Previous clerical experience as a CSA for 1 year
Completion of the CSA II competency requirements
Demonstrated de-escalation skills with patient complaints
Good communication and customer service skills
Ability to speak the language of served clients
Flexible with assignments and able to perform a wide variety of front desk functions
Good multi-tasking and critical thinking skills
Outstanding interpersonal and communication skills
Ability to work comfortably with a variety of patients and guests
Knowledge of physical, psychosocial and cognitive developmental needs of population served
