Position Overview
Primary Function of Organizational Unit
The Department of Nursing emerges from the challenge to meet the manpower needs for quality health care locally, nationally and globally. The role and scope of the Department of Nursing are reflected in the characteristics of selected learning environments and their ability to enhance individual productivity in a changing society. The Department of Nursing provides essential service to improve the quality of life for all people through quality educational programs research and scholarly endeavors, and community service.
Primary Purpose of Position
The primary purpose of this position is to ensure the efficient day-to-day operation of the Department of Nursing and serve as the first point of contact with students and parents/caregivers; aid in the management of operational funds; create, administer, and analyze various reports for accreditation and membership agencies; supervise work-aid, work-study, and graduate assistant students; maintain adequate and accurate employee records; take minutes during faculty/staff meetings.
Required Knowledge, Skills, and Abilities
The successful candidate must possess a working knowledge of Student Banner or an equivalent system; knowledge of Microsoft Office Suite (Microsoft Word, Excel and PowerPoint) Applications; knowledge of budget and office management; knowledge of writing reports; knowledge of planning special events and meetings; ability to work independently with little or no supervision; to take initiative to see projects and assignments through to completion; to learn, interpret and analyze information to make necessary decisions; to exercise judgment and discretion in problem solving; to plan, prioritize and organize workflow; ability to work flexible schedules; excellent analytical and organizational skills along with written and oral communication skills, excellent editing skills; great interpersonal skills to interact effectively and diplomatically with a wide range of individuals in a high pressure environment.
Minimum Education/Experience
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Duties
Ability to express oneself with clarity in oral form;
Orally recite departmental minutes from previous meetings.
Communicate department directives effectively in person or over the telephone.
Welcome visitors by greeting them, in person or on the telephone; answering or referring inquiries.
Establish monthly meetings to convey the direction of the Department of Nursing and provide support in making sure the department is aligned with the college mission and vision.
Required Competency Communication-Written
Duties
Compose letters, memos, notices, charts, agendas, and e-mail correspondence from the Department Head.
Type documents with accuracy, without follow-up review from supervisor, including corrections needed in spelling, grammar, and punctuation.
Carry out typing responsibilities by using judgment, organization and establishing layout and format.
Assist in the development of forms, procedures, and manuals for the Department of Nursing.
Assist with writing proposals and reports for the Nursing Department.
Ability to create informational materials, recruitment brochures, and web site content describing departmental programs.

Duties
Utilize office machines in performing responsibilities: typewriter, duplicating equipment, computer, calculator, and facsimile with considerable knowledge of office practice and procedure.
Utilize Microsoft Outlook for e-mail communication.
Utilize Microsoft Outlook for scheduling and coordinating the Department Chairperson’s appointments, meetings and conferences.
Utilize Voice over IP phone system for communication.
Utilize Microsoft Office Suite (Word, Excel, Access, Outlook) for word processing, spreadsheets, and data entry.
Utilize Banner 9 for budget management and ordering supplies

Required Competency Knowledge - Program
Duties
Understanding of the department services, policies and procedures related to department mission and vision. Ability to demonstrate and apply this knowledge in performance of office support tasks, special events, meetings and other assigned tasks. Ability to interpret and explain department information to students, faculty, staff, administration, other divisions and departments, collaborators and external visitors.
Ability to learn, interpret independently, and apply a variety of complex policies andprocedures as it relates to nursing.
Provide support for instruction through administration of course syllabi, class materials, exams, course evaluations, processing course schedules, maintaining course inventory, etc.
Plan and direct the development of the Department of Nursing operating budget and finances
Make timely and appropriate decisions related to finances on behalf of the department
Advise the Chair and Dean on the impact of budget commitments and communicate arising matters for the Department of Nursing.
Structure internal budgeting processes and establish internal controls to monitor operations and maintain budget limitations
Provide assists with newly developed grants and monitor the budgets to make sure expenditures align with approved purchases.
Required Competency Information/Records Administration
Duties
Create /Maintain standard & electronic files and records
Maintain, gather and analyze data for university and accrediting reports.
Compile and summarize data using established format.
Compile and organize information from different sources to develop reports and data.
Establish new records management systems.
Oversee the switch from paper to electronic record-keeping;
Deal with inquires and requests for information from both internal and external clients; ensuring our data is protected; destroying or archiving finished records.
Develop and modify job descriptions for new positions within the Department of Nursing
Coordinate the posting of EHRA and SHRA positions within the Department of Nursing
Work with Search Committee to in the recruitment and retention of faculty and staff
Serve as a liaison between Human Resources, Department of Nursing, and Dean’s Office
Oversee the onboarding of new faculty and staff
