About Administrative Support Assistant (Office Automation)

  Summary About the Position: Serves as an Administrative Support Assistant (Office Automation) for the U.S. Army Medical Center of Excellence within the Directorate of Training and Doctrine (DOTD) and the Individual Training Division. The Incumbent will perform recurring priorities, deadline, and general work products. Incumbent is under general supervision but works using initiative to plan and carry out the successive steps of work using judgment for tasked assigned to support the division. Responsibilities Type, review, Quality Control (QC), and revise all types of correspondence to ensure proper grammar and grammatical format. Manage department office supply levels and orders, assist with office equipment, and travel arrangements. Utilize office automation to pull reports for department. Assist customers with questions and direct to appropriate personnel. Enter time and attendance in an automated timekeeping system to track hours of labor. Accomplish assignments to support management using appropriate automated systems. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religious; spiritual; community; student; social). You will receive credit for all qualifying experience, including volunteer experience. Your resume must clearly describe your relevant experience; if qualifying based on education, your transcripts will be required as part of your application. Specialized Experience: One year of specialized experience which includes a full range of assignments consisting of related steps, processes or methods; responses differ in nature and sequence; requires knowledge of an organization's programs and operations, rules and processes; exercise initiative in completing recurring assignments; use judgment in selecting appropriate guidelines and procedures from among a number of specific references; receive calls and visitors referring them to appropriate personnel; type correspondence from rough drafts, general notes, or oral instructions; creating documents and entering data using Microsoft Word, Excel, Access or comparable software programs; preparing travel orders and making reservations for staff members; making travel arrangements; entering time and attendance in a payroll system; interpreting and explaining administrative policies and procedures, especially those related to pay administration; maintaining electronic and paper files. This definition of specialized experience is typical of work performed at the next lower grade/level position in the federal service (GS-04). OR Education: Four years of education above the high school level obtained in an accredited business, secretarial or technical school, junior college, college or university. OR Combination of Education and Experience: A combination of education and experience may be used to qualify for this position as long as the computed percentage of the requirements is at least 100%. To compute the percentage of the requirements, divide your total months of experience by 12. Then divide your semester hours of education beyond two years (total semester hours minus 60) by 60. Add the two percentages. You will be evaluated on the basis of your level of competency in the following areas: Applies Technology to Tasks Clerical Customer Service Writing Time in Grade Requirement: Applicants who have held a General Schedule (GS) position within the last 52 weeks must have 52 weeks of Federal service at the next lower grade or equivalent (GS-04). Education FOREIGN EDUCATION: If you are using education completed in foreign colleges or universities to meet the qualification requirements, you must show the education credentials have been evaluated by a private organization that specializes in interpretation of foreign education programs and such education has been deemed equivalent to that gained in an accredited U.S. education program; or full credit has been given for the courses at a U.S. accredited college or university. Male applicants born after December 31, 1959, must complete a Pre-Employment Certification Statement for Selective Service Registration. You will be required to provide proof of U.S. Citizenship. One year trial/probationary period may be required. Direct deposit of pay is required. Selection is subject to restrictions resulting from Department of Defense referral system for displaced employees.
