Job Summary
Reporting to the Director of Executive Operations, the Administrative Coordinator organizes and manages administrative support for company Executive and Senior Leadership, and supports the planning and execution of large events, such as departmental or company-wide events. Administrative support is also extended to other key personnel throughout the organization as capacity allows.
The Administrative Coordinator works proactively to manage and maintain activities, administrative duties, schedules, meetings and conferences, while balancing competing time commitments and ensuring a high level of professionalism and confidentiality.
Duties and Responsibilities
Arrange domestic and international travel and accommodations for company Executives, Directors, and other key personnel (Board Members, Clients, etc.)
Create and manage itineraries and schedules for trips and events
Handle day to day operations for the Director of Executive Operations and company Executives
Coordinate work with other InformData staff as needed; play a key role in the coordination of staff efforts both within and outside the Executive department
Maintain Executive calendars and organize meetings across many different organizations
Assist in the organization and execution of large-scale events, departmental meetings, conferences, and virtual gatherings
Draft, edit, and proof presentations, agendas, proposals, internal & external communications, and other documents
Attend calls, document notes and action items, track and monitor action items to completion
Assist with other special projects or related responsibilities

Qualifications
Bachelor's degree in business administration or related field
At least three (3) years of demonstrated experience in an administrative or project management role, preferably Executive or Senior level
Impeccable organizational skills and attention to detail
Ability to quickly adapt and re-prioritize tasks
Curious mindset; willing to ask questions, dig deep, and exhaust all possible resources
Excellent verbal and written communication skills; Executive or Senior level communication experience strongly preferred
Excellent time management skills with a proven ability to meet deadlines
Technical proficiency and aptitude (MS Teams, Zoom, WebEx, etc.) and productivity tools (Calendly, etc.); Proficiency with all key elements in the Microsoft Office 365 Suite
Event planning experience preferred
Ability to type at least 50 WPM
Strong desire to learn and increase skillset

Working Conditions
This position requires the incumbent to work indoors at a desk for extended periods of time and use of workstation.
The person must be able to comprehend and follow work instructions in a fast-paced, team environment.
This position requires the ability to interact with all levels within the organization and requires the ability to respond professionally to all individuals and work well as a team player.
This position may be requested to work outside of normal business hours on occasion to meet company objectives.
