  Breaking Ground operates nearly 4,000 units of housing across New York City, along with housing in upstate New York and Connecticut. Supportive housing - affordable housing paired with services designed to help people maintain their homes for the long-term - is widely recognized as a proven and cost-effective solution to chronic homelessness.

  But we didn't stop at providing housing. Breaking Ground's programs and services help people experiencing street homelessness - especially those who have been on the streets the longest - to come indoors. Through our Street to Home outreach program and transitional housing resources, we help people get, and stay, on the path to a permanent home.

  The Property Management department is responsible for the day-to-day operations of Breaking Ground’s current permanent housing portfolio and the successful transition of new buildings to operations. Property Management plays an integral role in Breaking Ground’s overall mission by providing the foundation for individuals and families to make a successful transition from homelessness once people have been housed.

  Support Specialist, Property Management

  Reporting to the Deputy Vice President, Facilities Operations, theSupport Specialist, Property Managementprovides support for project management, reports, and schedules.

  This position is onsite Monday-Friday 9.00 am - 5.00 pm

  ESSENTIAL DUTIES AND RESPONSIBILITIES:

  Coordinate and manage project tasks and deliverables for Property Management

  Run weekly and monthly compliance, regulatory, and violation reports

  Provide support with the development and implementation of internal procedures for janitorial schedules, preventative maintenance, and inventory management

  Provide in-person resolution for building violations at the Department of Buildings, Fire Departments, Metrotech, Housing Preservation Development, and other agencies

  Attend virtual hearings with regulatory agencies

  Reconcile and document monthly credit card statements and submit to Accounts Payable

  Compile and complete CRVs for signature submission

  Update, upload, and maintain shared folders for Property Management

  Submit in-person annual HPD registration and e-certify registration

  Maintain internal project tracking sheets

  Submit annual bedbug reporting and energy scorecards to regulatory agencies

  Organize, compile, and memorialize support documentation upon completion of projects

  Support staff using building systems (including Maintenance Connection, SiteCompli, Morse Key Watchman, FDNY Business Portal, DOBNOW and Lobby Guard) with their log in credentials, resetting passwords, assigning and/or creating new users

  Provide in-person customer service for tenants at 505 8thAvenue

  Create and distribute meeting minutes

  Assist with tracking violations, contract registrations, and renewals

  Ensure vendor proposals and invoices are received and processed

  Track and renew inspections and permits for FDNY Place of Assembly, Annual Boiler Inspections, DEP Triennial Boiler Permits, BPNY Annual Backflow Prevention, DOB Elevator CAT1, and CAT5

  Assist with annual audits of Emergency Evacuation Plans

  Perform other duties as assigned

  MINIMUM QUALIFICATIONS:

  High School diploma or equivalent required; Bachelor’s degree preferred

  Minimum 3 years of project, financial, or administrative management experience

  Previous experience with Department of Building’s project closeout and violation removal preferred

  Proficiency with Microsoft Office Suite programs including Word, Excel, Outlook, and Microsoft Teams

  Strong attention to detail and organizational skills
