Posting Summary
Rutgers, The State University of New Jersey, is seeking a Staff Assistant for the Center Advancing Research and Evaluation for Patient-Centered Care (CARE-PC) at the Robert Wood Johnson Medical School.The mission and vision of the Rutgers RWJMS Family Medicine and Community Health Research Division is to develop and sustain a vital and productive research environment that fosters collaborative, trans-disciplinary approaches to promote the health of individuals, families, and communities by improving quality of care and addressing health-related disparities. Under the guidance of the Director of Administration and the Staff Assistant, performs a wide variety of administrative and support services within the Division.Among the key duties of this position are the following:
  • Under the guidance and direction of the Director of Administration and Program Support Coordinator provide general administrative support including answering phones, managing emails, handling correspondence ordering supplies and managing office equipment.
  • Execute assignments that involve data collection, information gathering, analysis, data entry and retrieval, and database maintenance. Utilize various software packages for forms and graphic generation. Organize and maintain records, both paper and digital, and provide information for reports as needed.
  • Maintain essential records and assist in organizing activity files. Develop and manage both physical and electronic filing systems and databases. Prepare and compile data for special reports, monthly reports, program evaluations, and related reports following established guidelines.
  • Create various documents, including correspondence, agendas, minutes, event programs, brochures, certificates, accreditation badges, evaluations, etc., to communicate information and generate documentation in compliance with established guidelines.
  • Support faculty and staff in the processing of expense reports, honoraria, stipends, travel arrangements.
  • Assist with the execution of various meetings, workshops, events, and projects, supporting faculty, staff and attendees.
  • Assist with maintaining calendars for the Center, faculty, and staff.

Work Arrangement
Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System.   Qualifications

  

Minimum Education and Experience
  • Bachelor's degree, plus two (2) years of professional level experience in a business office, government agency or university setting.
  • An Associate's Degree and experience may be substituted for the degree on a year- for-year basis.
  • Two years of demonstrated experience planning events and hosting meetings through video conferencing software, updating professional websites and social media pages (Facebook or LinkedIn).
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Strong organizational skills, attention to detail and the ability to work both independently and as part of a team.
  • Strong oral and written communication skills and ability to prioritize work across multiple projects.
  • Computer skills required: Microsoft Office Suite including Word, Excel, Powerpoint and Zoom/Webex video conferencing platforms.
  • Willingness to learn and utilize additional specialized software applications required.

Preferred Qualifications
  • Knowledge of the following institutional software applications preferred: Oracle Expense Management, MarketPlace, and PeopleSoft, and Ingeniux digital content management.
  • Bilingual skills (English/Spanish).

Physical Demands and Work Environment
  • Physical Demands: Standing, sitting, walking, talking and hearing. No special vision requirements. Ability to lift or exert force up to 25 pounds.
  • Work Environment: Office environment. Moderate noise.
Special Conditions
  • Must be able to provide own transportation to meeting sites as necessary (mileage, parking, tolls reimbursed).
