  Answer all incoming calls and office emails, take detailed messages,communicate with staff on messages, and follow up when necessary.

  Greet, assist and/or direct visitors and is responsible for thelogistics (scheduling, meals and snacks, room availability, etc.) of allmeetings, conferences, and visits.

  Assist Executive Director and Assistant Executive Director with boardagendas, assemble packets, copies and forward members and contactsmedia.

  Manage, coordinate and distribute overall office mail, andcommunications which can include lifting, carrying and delivering withinthe office packages weighing up to 15 lbs.

  Coordinate and order office purchases with the approval of the ExecutiveDirector.

  Receive, record, and date stamp incoming mail including the Districtsdaily funds received.

  Log daily funds received and forward them to the Financial Officer fordeposits.

  Record, maintain, and document meeting minutes.

  Maintain RSVPs for meetings to assure quorum.

  Maintain board meeting records.

  Assist Executive Director and Assistant Executive Director withmaintaining board membership.

  Document and provide staff information lists, holidays, local officialsand board lists.

  Provide office file records, folders, and labels.

  Maintain office supplies, copying needs and records, postage meter andpostage.

  Leasing liaison for office equipment, maintenance and janitorialservices.

  Perform 12373 project reviews.

  Assist departments with various projects.

  Issue membership dues letters and invoices.

  Issue 911/GIS and misc. monthly recurring invoices.

  Assist Executive Director and Assistant Executive Director with filemaintenance, staff memos, support letters, etc.

  Maintain office equipment by managing the check in/out process forstaff.

  KNOWLEDGE AND SKILLS Required

  High School Diploma or GED.

  Excellent oral and written communication skills.

  Highly motivated and willing to assist wherever needed.

  Experienced in effectively operating standard office equipment includingcomputer, phone, text, apps, and software such as Microsoft Office.Including but not limited to the creation and editing of word documents,spreadsheets, and presentations.

  Strong interpersonal skills and ability to work collaboratively andpositively with colleagues.
