Core Responsibilities
The Corporate Administrative Assistant holds an important role supporting members of the leadership team and managing the general office administration of two offices. Reporting to the Manager, HR, they must have exceptional organizational and time management skills to balance multiple projects and tasks assigned from multiple departments. Specifically, this position is responsible for responding to office based inquiries across departments and specific projects assigned by leadership team members.
This position is based in Squamish with expected travel to the Vancouver business office once per week.
Key Tasks and Responsibilities
Office management and administration for the Squamish and Vancouver business office
Liaise with the Facilities Administrative Assistant for office support at the Innovation Centre
Order office supplies and maintain inventories
Coordinate meetings and site visits to the Squamish and Vancouver offices
Arrange travel and logistics for visitors as required
Assist the Corporate Operations and Business Development teams with document organization (SharePoint)
Assist the leadership team with expense reporting
Work independently and communicate with internal and external stakeholders/customers in a manner that promotes positive and respectful relationships
Provide reception support in Squamish
Education and Experience
Education: Post secondary education in office administration or equivalent work experience
Experience: 5+ years of progressive experience supporting senior level management in a busy office environment
Excellent time management skills and the ability to prioritize work and multi-task in an environment with multiple priorities and demands with personnel in person and remote
Excellent written and verbal communication skills
Demonstrated proficiency in Microsoft Office suite of products (Word, Excel, PowerPoint, Teams, Outlook, Visio) as well as with Adobe Acrobat (creation, modification, collating and marking up of PDF documents) and an aptitude for learning new software and systems
Experience with SharePoint is considered an asset
