Position Overview
TheU.S.based Administration & Facilities teamis responsible formanaging DAI’s U.S. officespace andprovidingadministrative supportacross a range of functionsincludingrecord retention,shipping,andreceiving, reception, and office supplymanagement.
TheAssociate/Senior Associate, Facilitiesis responsible forvarious duties, such as relocation of furniture and employees, monitoring tasks involved with construction projects, and supporting our facility operations for a new building lease DAI hasacquired.Additionalduties include monitoring and tracking records retention and storage,assistingwith shipping, and receiving duties including but not limited to the reconciliation of packages with purchase orders, processing invoices and maintenance of shipping and inventory. TheAssociatewill alsoassistwith other facilities functions andprovidewidespread support to the Office of Administration and Facilities (OAF) management team as needed.
This is a full-time position, that requires the ability towork in-person from DAI’s Bethesda, MD office5 days per weekandliftloadsup to 30lbs.This position also requires the ability to work in the United States without sponsorship.
Responsibilities
Facilitiesand Maintenance Support
Maintains departmentOracle database, prepare routine reports, and file shipping/receiving records.
Mayoperatedolly and or pallet jack in loading and unloading supplies and equipment.
Follows established departmental policies, procedures, andobjectives, continuous quality improvementobjectives, and safety, environmental, and/or infection control standards.
Performs maintenance of facilities equipment as the need arises orassistswith placing a maintenance request.
Assistswith managing Kastle Badging security system.
Responsible forassistingwithspaceplanning.
Responsible forofficerelocations.
Update and ensurefloorplans and seating charts are correct.
Coordinates with outside contractors for service and equipment repairs. Manages service and performance of vendors and landlords fortimelycompletion of jobs,maintainingongoing communication with contractors, client, and team.
Serves as project assistant for construction, renovation, floor planning and space management.
Assistswith the completion/closing of requests and inquiries from employeesregardingtheir physical workspace and handling of general facility services using an automated help desk system to ensure managed,timely, and satisfactory completion.
Shipping , Receiving – Back-up Support
Receives and unloads incoming material and compares information on packing slip with purchase order to verify accuracy of shipment; may process return shipments from customers.
Sorts, counts, packages, labels, insures, unpacks, and/or logs inventory, which is shipped or received.
Inspects shipments for damages or defects; records discrepancies or damages and notifies supervisor and/orpurchasingpersonnel.
Notifies requisitioning departments of deliveries and obtains authorized signatures for accepted items.
Traces lost shipments and/or customer claims of lost shipments, initiates proof of delivery documents.
Operates andmaintainspostal machine and any other mailing or shipping equipment; keeps shipping area clean and organized;assistswith routine maintenance of equipment and facilities; keeps shipping area locked.
Additionalresponsibilities asdeemednecessary.
Qualifications & Skills
Minimum Requirements & Qualifications :
GradeP2:At least1 yearofrelatedprofessionalexperience, and a college degree. Equivalent combinations of education and experience will be considered.
Grade P3:More than1 year ofrelatedprofessionalexperience, and a college degree. Equivalent combinations of education and experience will be considered.
Priorwork experience related to facilities management and/or shipping and receiving.
Working knowledge of MS Office Suite (Word, Excel, PowerPoint).
Working knowledge of international and domestic shipping systems.
Excellent interpersonal skills: detailed self-starter with the ability to manage multiple priorities effectively, keen organizational skills, flexible to change anddemonstratedinstinct for cooperative communication.
Demonstrated ability in planning and organizing work activities, thoroughness and accuracy in data management, and oral and written communication.
Able to bend, twist and lift 30 lbs.
Able and willing to adjust work schedule,as needed, to be able to work before/after standard business hours, on weekends and/or holidays.
Familiarity with the importance of diversity and inclusion.
Authorized to work inthe United States, without sponsorship.
Preferred, but not required :
Bachelor’s degree orProfessionalcertificationinBusiness, Facilities Management, Construction/Property management, or related field.
Prior experience with shipping, receiving, and mailing experience preferred.
Maintenance repair background is highly desirable.
Prior experience with OracleEBS.
Compensation & Benefits:
GradeP2:For employees working in the United States,the full-time equivalent annual base salary for this position is expected to be between$56,626to $61,622.
GradeP3:For employees working in the United States,the full-time equivalent annual base salary for this position is expected to be between $63,704 to $69,325.
Salary for part-time employees will be prorated based on actual hours worked.Actual offers will be based on several factors including, but not limited to, qualifications, relevant education, experience, skills, seniority, performance, and business or organizational needs.
