  The Role

  Reporting directly to the Director of Advancement Communications and Stewardship, the Advancement Associate – Stewardship supports all aspects of the Advancement and Alumni Relations Department’s stewardship and cultivation efforts for high-value donors and prospects to broaden and deepen their relationship with The College. The Advancement Associate - Stewardship will play a critical role within the Advancement team dedicated to developing and providing a comprehensive and robust stewardship, cultivation program and some functional support. The Associate will be primarily responsible for managing the in-house customized stewardship acknowledgment process, ensuring that donors are thanked graciously and in a timely manner. They will be responsible for managing processes around large mailing projects such as the President’s Report, Endowment reporting, and other impact reporting materials, and will be a vital part of ensuring strong attention to detail is utilized in communicating with donors - including major donors, planned giving donors, corporate and foundation donors, mid-level donors, and other special donor audiences. Other ongoing areas the Advancement Associate - Stewardship will support are the oversight and management of awards that recognize alumni and donors of The College.

  Additional assignments may include, but is not limited to, contract and vendor management, scheduling coordination, and Accounts Payable monitoring to ensure proper handling of invoices and expense reimbursements.

  Assignments require a high degree of judgment and discretion, attention to detail, as well as analyzing situations, planning work methods, and organizing needed resources. Assignments often involve multiple work units or departments within The College as well as external audiences. The complexity of this position often involves dealing with diverse matters requiring substantive knowledge, especially in areas related to fundraising, the advancement profession & strategic planning. This position also includes travel to The College events for onsite execution when needed.

  This position plays an important role in supporting an inclusive organizational culture that is grounded in trust and accountability to shared goals and outcomes. The Advancement Associate - Stewardship will integrate The College priorities throughout their daily work.   Essential Duties & Responsibilities

  Responsible for daily oversight of the in-house acknowledgment process including, but not limited to leadership donors, foundations, corporations, tribute gifts, matching gifts, and other special gift types.

  Reviews and configures all data lists on a weekly basis;

  Oversees gift appeal and gift acknowledgment process;

  Develops personalized acknowledgment content when necessary;

  Produces and mails all supplemental acknowledgment letters accurately and in a timely manner;

  Provides other ad hoc and replacement acknowledgments as necessary.

  Work with the Director of Advancement Communications and Stewardship to serve as project lead on stewardship and cultivation events, including but not limited to the annual President’s Dinner.

  Develop project timelines for all stages of our in-house efforts and ensure the project deadlines are met;

  Track donor RSVPs for events and support day-of-event execution.

  Work with Advancement Services and other teams within Advancement to manage stewardship activities, including the development and review of donor mailing and invite lists.

  Coordinate across Advancement teams to ensure timely donor follow-up and accurate record-keeping of all donor interactions with The College.

  Conduct thank you calls and write thank you notes to high-value donors (mid-level, planned giving donors, etc.) as needed, maintaining notes on calls and further helping to develop donor relationships, and recording interactions in Raisers Edge NXT.

  Performs other related duties as assigned.

  Qualifications

  Bachelor’s degree preferred.

  0-2 years experience working in an office environment. Knowledge of advancement principles and previous development office exposure is highly desirable. Experience with both customer service and project management is a plus.

  Excellent communication (oral and written) and interpersonal skills to work effectively with high and mid-level College and Industry leaders, colleagues, and in dealings with individual donors and the general public.

  Excellent time management, interpersonal, writing, and organizational skills.

  Ability to work independently and as a productive member of a team, in a fast-paced environment.

  Track record working successfully in teams representing a rich mix of talent, backgrounds, and perspectives—across race and gender.

  Ability to prioritize and move tasks along but also understand when to bring in additional resources.

  Ability to multi-task and maintain attention to detail and accuracy.

  Proficiency in the use of PCs and applicable software, including word processing, spreadsheets, and database applications (Microsoft Office products as well as Blackbaud’s Raisers Edge).

  Salary Grade Minimum: $ 55,700 The salary of the candidate selected for this role will be set based on a variety of factors including but not limited to experience, education, internal equity, departmental budgets, qualifications, licenses, specialty, and training.
