Manage all travel and expenses for the Director, including reconciling expense reimbursements, purchasing card statements, and contracts to ensure full compliance with University policy. * 20% - Draft and prepare written communications to and from the Director's Office, including preparing newsletters, correspondence, reports, website content, presentations and grant application content. * 25% - Communications management for the Center by serving as primary point of contact and liaison for the Department to internal (e.g. senior leaders, students, faculty, staff) and external affiliated stakeholders (e.g., the University of Minnesota Foundation, Office of the Vice President for Research, Medical School Communications, external collaborators). * 20% - Philanthropic gift and post-award grant management including subcontract set up, expense reports, review financial reports, purchase lab purchasing process through generation of Pos, contracts, MTAs, and other responsibilities that support research activities. * 10% - Support Center faculty and staff by managing complex calendars, balancing competing priorities, ensuring appropriate parties are included in meetings, documenting and archive minutes from meetings and managing travel and other expenses including reconciling expense reimbursements, purchasing card statements, and contracts to ensure full compliance with University policy. This position provides a full range of administrative and operational support for the Grossman Center including the Director, faculty and staff.This position partners with the Center Director, facilitating communications and serving as the first point of contact for the Center, including liaising with the Neurology Department Chair's Office, Department Administrator, Associate Director for Operations and Grossman Center faculty collaborators across the University system. This position supports the financial management of the Center which includes philanthropic, University funds and federal funding. The ideal candidate will bring a working knowledge of the University's administrative and governance structures and deep experience in providing executive-level support. The incumbent will be the consummate professional, possessing integrity, sound judgment, tact and diplomacy, discretion, attention to detail, and a reputation for building and maintaining effective and trusting working relationships. The nature of this position supports of the Director, faculty, and staff and assists with lab operations which are on site, therefore this position will work on campus full time. Qualifications All required qualifications must be documented on application materials Required Qualifications: * BA/BS with at least 2 years of experience or a combination of related education and work experience to equal six years. * Advanced proficiency and experience working with MS Office Suite (i.e., Word, Excel, PowerPoint) and Google (i.e., Mail, Calendar, Drive, Docs, Sheets, Forms). * Experience providing administrative support for executive-level positions including using discretion and demonstrated ability to work with and process sensitive information including confidential personnel, financial and legal matters. * Experience in drafting professional correspondence including letters, emails, or memos. A writing example is required. * Experience managing complex meeting schedule arrangements. * Experience with financial management which could nclude creating and reviewing budgets, personnel expense allocation, and monitoring of expenditures to budget. * Exceptionally strong organizational, interpersonal, and communication skills. * Strong problem-solving skills and reputation for taking initiative when needed and appropriate. * Creativity, flexibility, and comfort in working with diverse populations Preferred Qualifications: * Understanding of the University's organizational structure and culture as well as working knowledge of and experience with University systems, policies, and procedures.
