AvantGarde, LLC (AG), seeks to engage an Administrative Assistant to provide basic clerical, and file maintenance to the AG client on site within the United States Capitol Police (on Capital Hill) and Office of Human Resources (OHR) by providing broad-based administrative and technical assistance to a federal HR team supporting the federal electronic and manual employee file process. . This assignment is heavy manual filing in a secure on-site file room and doesn’t lend itself to the ability to work outside of that secure file room area.
The WORK
Provide technical and administrative support and file clerk support to the Office of Human Resources.
Exercise good judgement, integrity and confidentiality when maintaining critical and sensitive information, records, and reports.
Create, process and maintain all current employee files: HR labels and folders, which includes Personnel, Payroll, T&A, Medical and Unit.
Prepare records for off-site storage and maintain file room logs in USCP’s automated system to track file locations.
Dispose of hard copy manual files according to established document-retention schedule.
Notify HR team of specific HR issues or actions and refer inquiries to the appropriate staff members.
Photocopy, file, and scan highly confidential information.
Assist Investigators with special employee verification requests.
Transfer new employee files to active records room by scanning folders into the Infolinx database.
Prepare separation files to be transferred to on-site storage room.
Assist with audits by reviewing, checking, and verifying employee data to ensure accuracy.
Receive, review, prepare, and manage employee personnel records is support of the Governments electronic Official Personnel Folder (eOPF).
Manage and track employee semi-annual and annual PETS.
Provide backup support, as needed, for front desk coverage, which includes answering the telephone, relaying messages, directing callers to appropriate personnel, greeting department visitors, and distributing mail.
The REQUIREMENTS
High School Diploma is required; GED may be substitute (some college is preferred but not required)
At least 6-12 months of experience providing general basic administrative support (prior experience can be internship or another employer).
Basic Proficiency using the MS Office suite of applications (Excel, Outlook, Word and PowerPoint).
Must be skilled in the use of common office equipment, including but not limited to copy, fax, and scanning machines.
Must Demonstrate honesty and integrity and ensuring sensitive information is kept secure.
Must possess and demonstrate good customer service skills.
Must be diligent, well-organized and able to multi-task with competing priorities on a daily basis.
Effective interpersonal skills to interact successfully with customers, management, and team members.
Ability to work independently and as part of a team.
Flexibility in the approach to the delivery of work.
Must be detail oriented, with good organizational and time management skills.
Must be able to multi-task effectively and demonstrate the ability to prioritize and re-prioritize as needed in a fast-paced, quickly changing environment.
Proactive to seek additional work or projects during slack periods.
Other Specifications
Must be willing to work on site, full-time, in Downtown DC. No remote support permitted.
Must be able to report for work M-F, 5 days a week. Alternative flex schedule allowed within normal work hours (i.e. between the hours of 7 am – 6 pm).
Must be able to obtain a Public Trust clearance post USCP fingerprint/criminal background check process unique to USCP. (this position requires handling highly secure USCP records and no criminal history or bankruptcy history is allowed)
Requires standing for long periods of time sorting through manual records. Some bending, light lifting and carrying of equipment may be required.
