This position will assistance the Disease Area Stronghold leads Medical Affairs Delivery Unit by handling a wide range of executive support and administrative tasks.   Schedule – Monday through Friday, 8:00am – 5:00pm

  Location – Raritan, NJ – Hybrid (3 days in office and 2 days remote)

  What’s a typical day like? You’ll be:

  Calendar Management requiring interaction with both internal as external partners. Recognizes/communicates priorities and provides solutions. Anticipates and proactively prevents issues.

  Intense interaction with and sounding board for Leaders in the Medical Affairs Delivery Unit (MADU) organization, to ensure flawless office management for the Leadership Team.

  Coordination of Leadership Team meetings as well as large departmental meetings and/or activities with both internal and external partners.

  Logistics support and Budgeting.

  Content support in building meeting agenda and following up on discussion outcomes, and action item follow-up.

  Back-up responsibility for the colleague assistants within and beyond the MADU organization to ensure flawless business continuity.

  Assistance in travel arrangements and preparation of expense reports.

  Assistance with different HR processes within the MADU organization.

  Headcount management including resource needs analysis (Supply / Demand.)

  Candidate screening, interview scheduling, offer approval follow-up and recruitment.

  On and off boarding of employees for internal and external candidates.

  On-site contractor processes and delegate plus follow-up on approval status for contract initiation and renewals.

  Financial follow-up (Ariba), on payments for contractors through Worksense.

  Maintenance of administrative overview and structure (org charts, distribution lists etc.) for the groups.

  SharePoint coordination.

  Creation of new complex cross-departmental (modern) SharePoint structures.

  Coordinate format improvements and build different workspaces in support of Senior Leaders’ meetings.

  Define meeting frequency and dates.

  Automated action item notifications to optimize collaboration and increase efficiency in meeting outcome follow-ups with action item owners.

  Manage site permissions and sub-site permissions for complex SharePoint structures.

  Maintenance of 1-Supply.

  Active partner in defining database upgrade opportunities.

  Maintain system data and delegate required changes to people managers and their assistants, to ensure system accuracy.

  Principal Relationships:

  All functions within the Global Development organization supporting clinical trial activities (Delivery Unit, Global Clinical Operations, Integrated Data Analytics and Reporting Strategic Partnerships.

  Support functions which enable the smooth planning and execution of all parts of the work plans: Finance, HR, Procurement, Legal, and Contracting.

  This job might be an outstanding fit for those who:

  Bachelor / Office Management or equivalent by experience.

  Minimum of 5 years experience in providing general administrative support on departmental level.

  Familiar with the Clinical Operations environment.

  Proficient in MS Office applications, including Word, Excel, Outlook, and PowerPoint. Salesforce experience is preferred.

  Strong work ethic, professional and detailed oriented.

  Ability to work independently with minimal direction.

  Self-motivated individual that is ready to take on many functions of operations.

  Possess excellent interpersonal, written, and verbal communication skills.
