Equiliem is seeking an Onboarding Specialist that is bilingual in English and Spanish. This position will be a key asset to our company's candidates, clients, and internal onboarding team.
Position Overview- Adhere to Standard Operating Procedures regarding the candidate onboarding process, communication and escalation process, and clear to start process
- Acts as the internal liaison to candidates actively onboarding for an assignment.
- Action candidate Offers in the Applicant Tracking System (ATS)
- Initiate the candidate I-9 process
- Create and submit to candidate background check and drug screening profiles/e-invites
- Confirm completion of the I-9 and E-Verify process to ensure each candidate is authorized to work in the United States
- Track progression and follow-up with candidates to ensure onboarding paperwork and screenings have been received and actioned by the candidate to ensure a timely start.
- Review completed onboarding paperwork to ensure the required identifying information is accurate, the company employee paperwork is signed and dated, and all required client documents have been completed properly prior to issuing the Clear to Start
- Update Applicant Tracking System Qualifications in real-time throughout the candidate onboarding process
- Escalate candidate issues that could potentially cause a start delay to the Onboarding Lead
- Communicate regularly with recruiters, account managers or client services providing candidate onboarding updates and advising whether the start date will need to be moved forward.
- Validate accuracy of data in various fields in the Applicant Tracking System
- Review screening reports for discrepancies, incomplete results, records found or positive drug test results and escalate to Onboarding Manager and Director for next steps
- Communicate with screening vendors as needed
- Respond to internal emails regarding candidates timely
- Escalate candidate payroll inquiries and employee paperwork updates (e.g. new payment options, updated tax forms, benefit inquiries, etc.) to appropriate internal department
- Adhere to Key Performance Indicators (KPI) and Service Level Agreements (SLA)
- Attend daily and weekly team meetings
- Attend training session as required
- Prepare for 1:1 meetings with Lead and/or Onboarding Manager
- Responsible for additional projects and/or tasks as required to support onboarding

| Education Requirement: | Bachelor's degree or Commensurate experience preferred |
| Knowledge, Skills, Abilities: | - Bilingual in English and Spanish required
- Experience in Medical staffing preferred
- Computer proficiency required
- Excellent customer service skills
- Follow Up skills are a must
- Must have attention to detail
- Must be able to multi-task and work under pressure
- Must be able to adhere to deadlines

| Hours: | 8:30 AM - 5 PM EST M-F, one 11 AM - 8 PM shift every 2 weeks |
