About Administrative Assistant

Description We are offering a contract to hire employment opportunity for an Administrative Assistant in Boca Raton, Florida. The role will be primarily within the commercial property management industry, providing comprehensive administrative support. The role involves a high degree of interaction with clients, vendors, and the internal team, and requires a strong proficiency in a variety of software applications.

Responsibilities:

• Act as the first point of contact, greeting visitors and answering incoming phone calls.

• Handle high volumes of data entry tasks with precision.

• Generate and distribute daily work orders for the maintenance staff, and coordinate their dispatch as needed.

• Assist in the creation and closure of work orders in the software system.

• Contribute to month-end accounting closure of properties, including copier and postage reconciliation.

• Provide comprehensive administrative support to Property Managers, including filing, stamping and sorting daily mail, and receiving/distributing any deliveries.

• Assist with vendor insurance requirements and special projects as required.

• Regularly interact with Clients/Vendors, maintaining excellent customer service standards.

• Utilize Microsoft Excel, Outlook, and Word to maintain records and manage workflows.

• Adapt quickly to new software tools and systems. Requirements • Proficiency in Administrative Assistance is required for this role.

• Experience in Property Management is highly desirable.

• Must be proficient in Microsoft Excel.

• Ability to handle and manage a multi-line phone system efficiently.

• Must have experience in handling and processing work orders.

• Excellent written and verbal communication skills.

• Strong organizational skills and ability to multitask.

• Attention to detail and problem-solving skills.

• High school diploma; additional qualification as an administrative assistant or secretary will be a plus.

• Knowledge of office management systems and procedures.

• Time management skills and the ability to prioritize work.
