Job Title: Administrative Assistant
Job Summary:
The Administrative Assistant will be responsible for a range of general administrative support services to facilitate the efficient operation of the USCIS program office. The role involves handling electronic mail, attending meetings, managing schedules, and supporting various administrative functions.
Responsibilities Include:
Using an online document tracking system for email management and work assignments
Monitoring and maintaining USCIS email boxes and fax machines
Attending meetings and training sessions, collecting notes, and performing related tasks
Performing day-to-day administrative functions, including timekeeping, front desk coverage, telephone management, and mail routing
Filing and maintaining documents electronically and using a computer filing system
Assisting with travel authorizations, vouchers, and managing travel budget reports
Managing schedules and calendars in Microsoft Outlook
Arranging meetings, preparing agendas, and coordinating conference logistics
Making travel arrangements for executives and staff
Briefing directors and senior counselors on events, meetings, and issues, and taking meeting minutes
Creating and editing documents and reports using various software packages
Providing administrative support for daily operations and project-related activities
Compiling data for periodic reports and maintaining correspondence records
Required Qualifications and Skills:
Associate's degree
2+ years of experience as an Administrative Assistant or in a similar role, supporting senior-level management
Proficiency in Microsoft Office software, including Word, Excel, Outlook, Teams, and PowerPoint
Experience in setting up conference room equipment, printers, and other office equipment
A proactive approach to managing multiple tasks and the ability to work efficiently in a dynamic environment
Work Setting and Environment:
Monday - Friday, normal working hours
Work is to be performed onsite at Camp Springs, MD
