CU Boulder's College of Engineering & Applied Science welcomes applications for the Student Services Program Manager! This position reports to the Associate Dean for Students and is actively involved in a broad range of project management, logistical and administrative support activities. Responsibilities include leading implementation of Engineering Dean's office undergraduate academic operations activities, liaising to student organizations office in the Engineering Hub, and establishing/maintaining/enhancing administrative processes related to student and staff support. The position works with multiple campus partners and offices, and benefits from knowledge of the student experience, project/portfolio management, student development principles, as well as customer service strategies.

What Your Key Responsibilities Will Be
Academic Operations Management, Planning, and Process Improvement:
Provides administrative support to the Associate Dean for Students portfolio and the Student Support & Advising Services (SSAS) team.
Leads implementation of Engineering Deans office undergraduate academic operations activities, offering expert knowledge of relevant policies, practices, and systems as a college-wide academic operations expert.
Conducts ongoing diagnostic planning, implementation, and assessment of relevant processes, procedures, and academic operations practices, and generates proposed improvements.
Provides appropriate ongoing support and training for staff related to policies, processes, and practices.
Supports implementation of CEAS student academic success outreach/intervention efforts (e.g., pulling and organizing data of students repeating courses, setting up student messaging templates, etc.) and optimizes business processes in an effort to contribute to University and CEAS student success missions.
Develops, maintains, and analyzes reports for quality data tracking (such as CU-DATA reports or Buff Portal Advising dashboards/reports).
Assists with assessment data analysis & reporting.
Is responsible for CEAS undergraduate student academic records:
Manages changes of major/minor/subplans & associated advisor assignments.
Makes new advisor assignments, and maintains integrity of assignments (changes, updates, etc.) in Campus Solutions and Buff Portal Advising systems.
Monitors Admissions Office listservs for student deferrals, cancellations, college and major changes and updates student records accordingly.
Leads the review process of college-managed student petitions (and any subsequent actions that need to be taken, if approved), and stores completed petitions in students e-file or within OnBase.
Tracks paperwork sent to Registrars Office to ensure it is completed accurately and within their service timeframe (such as Special Action Form/Change of Record forms requiring deans approval).
Responsible for maintaining digital CEAS undergraduate student files.
Initiates and supports technology-based projects and processes:
Creates and updates web forms and Docusign templates (e.g., online Petition, Independent Study, Incomplete Grade forms).
Integrates OnBase archival platform.
Updates SSAS web site.
Updates SSAS SharePoint site.
Leads CEAS baccalaureate degree certification process (3-5 times per year):
Serves as CEAS final grade liaison to ensure timely submission of final grades by faculty.
Manages Campus Solutions Graduation Roster of students applying to graduate.
Determines student eligibility for CEAS Latin Honors, Engineering Honors Program, and FE Exam completion and distributes medals/cords to eligible graduating students.
Coordinates graduation certification process with academic advisors and submits official list of graduates to the Registrars Office.
Oversees planning, management, and ongoing improvements to eight semi-annual graduating undergraduate student awards.
Reads graduating candidate names at annual CEAS Recognition Ceremony.
Serves as gatekeeper for Buff Portal Advising provisioning/deprovisioning CEAS staff and faculty.
Assists in reviewing and updating SSAS Policies & Procedures documentation.
Manages [email protected] email account daily and responds/routes as appropriate.
Manages CEAS Academic Advising telephone/voicemail.
Provides backup oversight of [email protected] email account.
Assists with Intra-University Transfer (IUT) processing (e.g., reviews student records for accuracy after Registrars Office processing and follows-up in fixing any errors made).
Assists with degree audit exceptions.
Liaises with CEAS Lead Education & Curriculum Coordinator and the Curriculum Coordinators team (e.g., to ensure Departmental Course Request Forms are updated on a regular basis).
Provides enrolled student lists for Facilities Management staff.
Provides graduating student lists for Advancement staff.
Stays apprised and current on relevant University and State of Colorado policies and procedures.
Participates in professional development activities and serves on unit, college, or campus committees as applicable.
Undertakes other duties and responsibilities as assigned.
Engineering Hub:
Liaises to the University of Colorado Engineering Council (UCEC) student government and other student organizations approved for holding office in the Engineering Hub.
Assists with financials for University of Colorado Engineering Council (UCEC) and the Engineering Fellows.
Assists the Engineering Fellows with room scheduling.
Maintains Engineering Hub SharePoint site.
Oversees common areas of the Engineering Hub and ensures community members contribute to a clean and professional environment.
Manages Engineering Hub occupants and Hub-affiliates key and card access.
Budget and Financial Management:
Administration and management of budget functions for SSAS, Associate Dean for Students, and the Engineering Hub.
Reviews and analyzes financial reports on a monthly basis to ensure alignment of expenditures and encumbrances within budgets.
Provides oversight of future spending demands.
Informs leadership of current and projected financial standing.
What We Can Offer
The starting salary range for this position is $60,000 - $63,000. Relocation assistance is available within CEAS guidelines.

What We Require
Bachelors degree.
Three years of experience in higher education academic operations or student services administration.
Ability to work in-person, on-campus, at the Engineering Hub location at least 3 days a week.
