Description We are offering an opportunity for a Senior Administrative Assistant in the Government sector located in Oakland, California. This role is critical in ensuring the smooth operation of our department, serving as the first point of contact for all inquiries, and providing crucial support to our team. As a Senior Administrative Assistant, you play a key role in managing daily functions, maintaining records, and ensuring compliance with policies.
Responsibilities:
• Act as the primary contact for all telephone and mail inquiries, ensuring all significant matters are brought to the manager's attention and outstanding customer service is provided to customers and the public.
• Perform various specialized administrative and office tasks to ensure the department's daily operations run efficiently.
• Assist other department managers with their inquiries and serve as the main contact to ensure all requests are responded to promptly.
• Support the functional area by being the point of contact for department procedures and practices to ensure consistency.
• Assist department managers, supervisors, and/or other staff with their daily functions to ensure department goals are achieved.
• Review and code departmental expenses to ensure accurate accounting and budgeting.
• Maintain and update reports to ensure compliance with company policies as well as local, state, and federal regulations.
• Maintain department files to ensure they remain organized and current.
• Order and maintain inventory of department supplies to ensure supplies are available when needed.
• Utilize skills in Concur, Microsoft Excel, Microsoft Office Suites, Microsoft Outlook, Microsoft Word, About Time, Calendar Management, Correspondence, C-Suite, and Documentation to perform tasks effectively. Requirements • Proficiency in Microsoft Office Suites, including Microsoft Excel, Microsoft Outlook, and Microsoft Word
• Familiarity with Concur software for travel and expense management
• Experience with About Time software for workforce management
• Proven ability in Calendar Management and scheduling for senior management or C-Suite executives
• Excellent skills in drafting and managing Correspondence
• Demonstrated ability to create, manage and maintain Documentation
• Prior experience working in a government agency or similar setting
• Ability to work effectively with all levels of staff and management
• Strong organizational skills and attention to detail
• Excellent verbal and written communication skills
• Ability to handle sensitive information with discretion and confidentiality
• Proven ability to multi-task and prioritize tasks in a fast-paced environment
• Demonstrated problem-solving skills and initiative
• Comfortable working both independently and as part of a team
• Bachelor's degree in related field or equivalent work experience.
