  Job Responsibilities:

  Curriculum Support – college programs:

  Support Associate Dean for Curricular Affairs.

  Act as liaison between NTID Academic Affairs and larger university community including but not limited to the RIT Provost's Office, Registrar's Office, University Publications, and other NTID departments and divisions.

  Schedule meetings of the NTID Curriculum Committee (NCC), record NCC meeting notes, and maintain the electronic archive site (MyCourses and/or NTID Academic Affairs curriculum website) to disseminate agenda, minutes, and documents for committee review.

  Record and archive curriculum decisions and related important documents.

  Maintain curriculum archive file room and online chronology files.

  Support college curriculum accreditation/articulation processes.

  Coordinate the submission of course and program proposals through the various stages of college and university governance review and to the RIT Office of the Provost for submission to NYSED.

  Disseminate Curriculum decisions to NTID Scheduler for implementation in SIS.

  Curriculum Support – university publications and webpages:

  Support and document update of college undergraduate and graduate program and course catalog information (including Academic Advisement Report reviews) annually.

  Work with NTID Marketing and Communications to update Academic Affairs web pages listing college committees, policies, and guidelines.

  Curriculum Support – Program Outcomes Support:

  Support student outcomes assessment processes.Student Ratings Support:

  Support the Student Ratings System (SRS) process with scheduling, meeting preparation, logistics and note taking, development and dissemination of meeting minutes.

  Facilitate the collection of student evaluations of service providers each academic term via the SRS by updating e-mail communications, approving faculty/staff survey requests, fielding inquiries regarding survey administration and reports, and preparing summaries of survey requests and participation data.

  Committees Support:

  Provide on-going logistics and clerical support to Standing Committee as assigned.

  Coordinate the Standing Committee self-nomination and election processes as assigned.

  Record where NTID personnel are deployed on college and institute committees.

  Coordinate nomination processes for the NTID Undergraduate Scholarship Award, Outstanding NTID Graduate Award, the Scholarship Awards Committee, and the Teaching/Tutoring Awards committee.

  Revise Standing Committee policies and guidelines as assigned.

  Office and Logistics Support:

  Support Associate Vice President for Academic Affairs directly or through the Assistant to the Associate VP for Academic Affairs.

  Provide backup support for Associate Dean for Academic Administration as needed.

  Provide backup support for the Office of the NTID President / RIT Vice President and Dean as needed.

  Prepare communications (letters, e-mails, presentations) ; respond to requests for assistance via emails, phone, video, and in-person.

  Handle confidential information such as student educational records in accordance with FERPA, confidential contracts and affiliation agreements, tenure and promotion committee deliberations, peer review assessments, faculty appraisals and salary information, human resource documentation.

  Make room reservations, request access services (interpreting and/or captioning), arrange for hospitality and technical support, assist with event preparations including pulling and pushing hand carts, as necessary.

  Design and prepare presentation materials for Academic Affairs leadership, including lifting and carrying printed records (up to 10 lbs).

  Cross train for redundancy among other functions in Academic Affairs.

  Required Qualifications:

  EXPERIENCE:

  Five years of administrative, office, programmatic experience

  A combination of education and experience may be considered

  SKILLS:

  Ability to manage multiple projects simultaneously

  Ability to take direction from multiple supervisors

  Excellent verbal and written communication skills

  Excellent interpersonal and organizational skills

  Excellent proofreading and attention-to-details skills; the ability to monitor and maintain consistent language and details across multiple documents

  Excellent computer skills; willingness to learn new systems

  Advanced level knowledge of Microsoft Office (Word, PowerPoint, Outlook)

  Intermediate level knowledge of Microsoft Excel, MyCourses, Adobe Acrobat Pro, Zoom

  Basic level knowledge of RIT Student Information System (SIS PeopleSoft), Kronos, EMS room reservation system, access services (interpreting, captioning) requests, Google Drive, and Avaya Cloud (phone)

  Act as an ambassador of Academic Affairs; be welcoming and collaborative

  American Sign Language communication skills or willingness to learn

  Preferred Qualifications:

  Knowledge of Oracle, Career Zone/Kenexa BrassRing applications, and Taskstream outcomes assessment management system

  Formal or informal supervisory experience with student workers

  Demonstrated flexibility and willingness to learn new systems

  Experience in an academic setting

  Provide administrative and clerical support to the Office of the Associate Vice President for Academic Affairs; including the Associate VP, Associate Dean for Curricular Affairs, Associate Dean for Academic Administration, and the Office of NTID President / RIT Vice President and Dean as needed. This position's primary focus is to support processes related to curriculum management, outcomes assessment, student ratings, and standing committees in NTID Academic Affairs. This position reports to the Assistant to the Associate Vice President for Academic Affairs.
