POSITION OVERVIEWThis Clerical Support Secretary serves as part of the Central Office team providing administrative and professional support to multiple departments. While this position supports all departments within Central Office, a majority of the work will be in support of the Human Resources department. POSITION RESPONSIBLITIES:
Duties may include, but are not necessarily limited to:
General Central Office Support:
Assists in processing incoming telephone calls and in-person visitors.
Provides general district information and explanation to staff and public.
Assists with maintaining a variety of confidential employee records.
Assists in filing and processing incoming and outgoing correspondence both electronic and hardcopy.
Creates, develops and produces correspondence, complex documents, agendas, forms, presentations and visuals.
Photocopying and scanning documents.
Assists in maintaining a schedule of appointments and meetings.
Orders office and event supplies as directed.
Processes invoices and creates purchase orders.
Performs other duties as may be assigned.
Attends professional development opportunities to improve job skills.
Human Resources Department Support:
Assists with reviewing vacancy postings toward scheduling interviews and preparing for interview sessions.
Assists in processing onboarding paperwork and background checks.
Assists in preparation of Board Reports for new hires.
Assists in processing District Volunteers through background checks and maintaining shared Google Sheets.
Assists in the processing and coordination of data related to incoming Student Teachers.
Assists in gathering personnel information for federal, state, and other programs and reports.
Assists in preparation for annual audits of personnel records.
Performs other duties as assigned by supervisor.
Superintendent's Office Support:
Responsible for timely scheduling of Superintendent level hearings for student discipline.
Responsible for preparing correspondence following student discipline hearings.
Performs other duties as assigned by supervisor.
Curriculum and Learning Department Support:
Assists with district provided professional development days including supplies/material preparation, event set-up, and registration/check-in support.
Assists in processing information for federal, state, and other programs and reports.
Assists in processing records including staff education and professional development
Performs other duties as assigned by supervisor.
MINIMUM QUALIFICATIONS:
In-person daily attendance is required.
