Objective
A Document Controller is responsible for maintaining organized and updated documents for Company, as well as processing all project deliverables in a timely and efficient matter between Company, client and vendors.
Activities
Manage the flow of correspondence in and out of the company through proper transmittals; ensure outgoing documents are accurate, comply with company standards and policies, route correspondence to correct associates; and protect and secure confidential and proprietary information.
Reviews and verifies project documents for completeness, format and compliance with contract requirements.
Submits project documentation to management team for approval and transmits approved documents to customer. Distributes documentation to the project team and customers for review and comments.
Manage Governance level 1-2 projects independently as per applicable standards and procedures.
Owner of Master Document List (MDL/MDR) consisting of all project related documents.
Examines project documents to verify completeness and accuracy of data.
Guide internal/external stake holders on project and contract requirements.
Setup and maintain data in the Electronic Document Management System Content Server 10.5 & MS. Teams.
Working with project team in preparation of Project Final Documentation or Dossiers.
Monitor status of project documentation according to schedule and follow up with client/vendor/internal team for timely delivery.
Prepares project status reports.
Attend project progress review meeting.
Training/supporting project participants on document control tools.
Supporting in training of new recruits/junior staffs
Processes
Identify documentation gaps and follow up with internal team, vendors and client.
Provide weekly project reports.
Participate in Project Meetings and be able to provide documentation status and progress.
Work closely with Project Engineering to follow and amend master document list as required.
Communicate and collaborate with project managers.
Read project specifications and be able to identify system compliance with contract requirements.
Key Indicators
Quarterly DC Survey Distribution for Services. DC support on the scale 1 to 5 , with 5 being the highest score.
Project progress and overall efficiency of DC team support
Management - Troubleshooting (Project set ups, workflow queries, incorrect reporting, DC queries, interrupted document flow, transmittal delays, numbering issues, team absence management, system downtime)
Management - Knowledge Sharing / Transfer (Project requirements, specifications, training, progress)
Management - Project Reporting (Regular documentation status updates)
Quality - Methodology & Analysis - Defined Task (Meet specific project requirements, templates, document numbers and revisions, MDL, compounds, etc.)
Quality - Performance Quality - Defined Task (Legibility, results, summary, clarity, etc.)
Communication - Clarity in communication and reporting (Job progress, queries, requirement of inputs, priority change)
Delivery - Delivery as committed (On Time Delivery as per the latest communication)
Collaboration (Prioritization, adaptability, shuffling tasks, flexibility)
Efficiency Rating (Estimated efficiency of turning the documents around on a project - Transmittals, workflows.)
Prior Experience/Expertise Required
Proficient using Word, Excel, PowerPoint, etc. as tools to enable effective evaluation of information and reporting to Management.
Proficient using Adobe Acrobat Pro and electronic document processing.
Demonstrated ability to communicate effectively both verbally and in writing is mandatory.
Adaptability to cope with diverse systems and procedures applicable to a variety of projects.
Familiar with MS Outlook and navigating through web-based applications.
Ability to manage the document control process independently and timely manner with minimum supervision.
Hands on Experience in Multiple EDMS
Training, Mentoring and Presentation Skill.
The ability to perform multiple tasks in a fast-paced team environment to meet tight deadlines is essential.
Minimum Qualification
Bilingual (Spanish and English)
High school Diploma or equivalent educational proficiency.
2 Years Experience on project document control
Good command of MS Excel is a must.
Preferred Skills/experience
Preferably 3-5 years of experience on project document control management in engineering, manufacturing or construction industry or an oilfield service-related industry.
Ability to analyze data and come to conclusions.
Ability to follow procedures exactly.
Incredible organizational skills

Demonstrated ability to communicate effectively both verbally and in writing. and ability to work independently.
