Summary This position is located in the Sip Operations Field Office, Division of Gulf Operations (DGO), Office of Ship Operations, Office of the Associate Administrator for the National Security, Maritime Administration (MARAD). Responsibilities As a Program Support Assistant, you will: Coordinates with the Ship Operations and Maintenance Officer (SOMO), Supervisory Marine Surveyor (SMS), Staff Shipping Supervisor (SSS), and Contracting Officer Representative (COR) to determine the documentation required for ship manager contracts requisition preparation and standardization. Extract data from operational system as instructed by program office. Makes initial and immediate recommendations to management whenever there is a need for process change to assure consistency and standardization. Serves as Payroll coordinator for all Ship Operations personnel, timesheet distribution and collection, and Payroll record keeping. Use a variety of office software programs such a PowerPoint, Excel, Word, or other software to prepare documents, reports, minor databases, and slide presentations. Provides administrative support to SOMO, SSS, SMS and COR as requested. Serves as “Back Up” Office Manager for Program Support Specialist for Area Division coordinating all personnel actions with the Office of Human Resources. Serves as the Ship Operations point of contact and liaison for the electronic communication between Ship Operations, Acquisition, Finance, Reserve Fleet, and Gateway. Provides information for software usage in RMS, relating to programs such as RMS, ESC-PRISM and DELPHI. The Ideal Candidate is a mid-level individual with experience in processing and preparing technical documents, consolidation, revision, tracking and reconciliation input from the Area Division's Managers and technical staff, day-to-day office documentation processing, supply and service monitoring and receiving visitors. Qualifications To meet the minimum qualifications for this position, you must meet the specialized experience qualifications for the grade at which you are requesting consideration. To qualify for the GS-07 on Experience, you must have at least one year of experience equal or equivalent to the GS-05 it must include: Experience utilizing computer-based software programs, such as windows, word processing, spreadsheets, database, email, project management, Power Point, etc. To qualify for the GS-08 on Experience, you must have at least one year of experience equal or equivalent to the GS-07 it must include: Experience utilizing computer software for program-monitoring functions in procurement systems, human resource documentation, and office supply and services. Experience supporting contract monitoring and day-to-day office functions, mail and package receipt, and receiving visitors and building access.
