Rutgers University- Newark (RU-N), an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise is seeking a Program Coordinator II for the P3: A Collaboratory for Pedagogy, Professional Development and Publicly-Engaged Scholarship (P3). This position reports to the Senior Department Administrator Supervisor of the P3. The Program Coordinator II works independently with minimal instruction and oversight from the Senior Department Administrator Supervisor; this position has the authority to develop and implement administrative procedures and policies for the P3. Performs professional work that requires knowledge of general administrative and office management principles as well as specific knowledge of University policy and procedures.
This position is responsible for and not limited to the following.
  • Organizes and maintains office records and databases, tracks office supply inventory and ensures replenishment as needed, organizes meetings, and manages facilities / space reservations and usage.
  • At the direction of the Senior Department Administrator Supervisor, provides support for projects and programs, prepares reports and communications, compiles research, organizes data, and prepares spreadsheets.
  • Co-coordinates multi-media branding and marketing campaigns.
  • Recruits, trains and supervises student employees, interns and volunteers.
  • Co-coordinates program logistics for co-curricular calendar.
  • Exercises a high level of discretion and acts in a professional manner in the performing of the responsibilities of this position.
  • Completes other assignments consistent with the mission, vision, role, and goals of the P3.

Work Arrangement
Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System.   Qualifications

  

Minimum Education and Experience
  • Requires a Bachelor's degree in a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, work organization, coordination, facilitation, bookkeeping, and report writing principles and practices.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Requires experience in an administrative function, excellent communication skills, and expert knowledge of relevant computer software.
  • Requires proficiency in Microsoft Office Suite (particularly Word, Excel and PowerPoint).
  • Requires demonstrated ability to multi-task and work in a fast paced setting under multiple deadlines.
Preferred Qualifications
  • Experience with Rutgers systems (I.e., Cornerstone and Oracle)
  • Experience with web and social media communications
  • Comfortable working in a vibrant and diverse educational environment.
Equipment Utilized
  • Regularly uses computer equipment, and software programs including the Microsoft Office Suite (including Word, Excel, and PowerPoint), Wix (for website management), as well as Rutgers-specific programs.
