Key Responsibilities:
In this role you will be the Personal Assistant to the EVP, General Counsel & Company Secretary, providing high quality support in a number of areas including :
Planning:
Utilize critical path and prioritization techniques to plan work, delivering high-quality output in support of the EVP.
Maintain the EVP schedule, diary, and email inbox, involving complex decision-making and coordination with multiple stakeholders.
Communication Management:
Assist in managing communication, correspondences, and translation of sensitive/confidential matters.
Handle contact with stakeholders on the most sensitive issues, ensuring discretion and professionalism.
Documentation and Reporting:
Responsible for accurate and timely preparation of EC/Board materials/papers.
Compile data for reports, create spreadsheets/databases, and prepare department reports/presentations.
Travel and Meeting Coordination:
Plan, manage, and coordinate complex travel itineraries, visas, and cross-functional or hybrid meetings, conferences, or events.
Proactively compile and issue agendas, organize pre-read materials, and send invitations to IHG and non-IHG attendees.
Administrative Support:
Arrange conference calls, handle information requests, manage appointments, and prepare correspondence.
Act as a liaison between regional/global offices, organizing and expediting work for the EVP.
Project Management:
Plan and execute special project assignments, acting on behalf of the EVP in resolving challenges.
Act as the proxy for the EVP, ensuring positive people communications, responding to inquiries, and managing complaints.
Record Keeping and Data Management:
Maintain filing system as needed.
Ensure expenses and invoices are accurately processed
People Communications:
Support all People communications to the function, fostering effective and transparent communication channels.Join our team and be a key player in a dynamic environment, contributing to the success and efficiency of IHG's executive leadership.
What we’re looking for
We're seeking a seasoned Personal Assistant. With a minimum of 2+ years of FTSE 100 experience supporting either a Legal Board member or a Finance Board member
Your strengths lie in clear oral and written communication, you will have a wealth of experience in writing board minutes You will have cultural understanding, and an impeccable attention to detail. Navigate the complexities of a challenging environment effortlessly, demonstrating astute judgment in handling conflicting priorities. Your experience with VIPs and sensitive subjects, coupled with a commitment to confidentiality, sets you apart.
