OVERVIEW: We seek a full-time Operations and Finance Manager. Under the supervision of the Executive Director the Operationsand Finance Manager performs a wide range of tasks, including grant andfinancial management, accounting, volunteer coordination, officemanagement, IT support and human resource management. DUTIES: -Finance Manage accounting system under supervision of AccountingConsultant & Executive Director. Assist in preparation and management ofbudget and quarterly forecasts, and provide guidance to program staff indeveloping and monitoring program budgets. Prepare and submit timelygrant and government contract reports and invoices. AP/AR, deposits,in-kind ledger, & maintenance of accounting files. Processpayroll/benefits through outside contractor, stay abreast of payroll taxlaws Lead annual audit activities. Update and implement all necessarybusiness policies and accounting practices; suggest and implementimprovements to accountability and efficiency as needed - AdministrationAct as point person for facilities, equipment, insurance andadministrative records. Assess administrative systems, policies,facilities, and use of technology; apply increasingly sophisticatedbusiness practices to increase capability and efficiency. Support adiverse team of talented staff to provide high quality services. Promotean organizational culture that inspires and motivates staff. Maintain aworking knowledge of guidelines for all current government contracts.Manage mail disbursement, supply procurement, vendor relations. ManageHR and benefits administration and maintain all HR files. Assist theExecutive Director and perform additional duties as assigned. - ITManagement: Under guidance of IT Consultant, support maintenance ofcomputer system. Track inventory of hardware, software and licenses.Maintain/Troubleshoot email, website and software programs. - VolunteerCoordination Manage volunteer database Coordinate volunteer recruitmentand manage volunteer orientations. Develop ongoing volunteercommunications via email or social media Coordinate volunteerappreciation activities and overall program stewardshipREQUIREMENTS: Proven strengths in financial management, includingdeveloping and managing budgets, and financial reporting. Experiencewith bookkeeping/accounting. This role will have significantresponsibility managing regular and auditable transactions. Excellentorganizational skills and able to create effective administrativesystems. The ability to prioritize and manage multipleprojects/deadlines. Excellent communication skills. Strong computer anddatabase skills; proficiency in Microsoft Office Suite. Either aMaster?s degree in Public Administration, Business or other relatedfield + minimum one year of relevant work experience, OR a Bachelor?sdegree in above fields + three years relevant work experience, OR 5years relevant work experience. Proficiency in QuickBooks, Little GreenLight, and federal online contract portals. Demonstrated successinvoicing and submitting reports for state or federal grants. This is apartial job description.
