Sends AR dept "billing letters (authorizations)" weekly. Works with Executive Director and billing/collection staff to ensure maximum reimbursement to clients (if applicable) and company.Oversees accounts payable (AP) process and follows up on late payments or other issues.Acts as liaison to Corporate departments for administrative functions including finance, HRIS, billing, accounts payable, and payroll.Supervises and/or prepares payroll, verifying hours worked. Resolves discrepancies with the appropriate persons. Enters or oversees entry of payroll data into payroll system within required timeline. Distributes paychecks according to company guidelines.Maintains the clinical and financial files, ensuring documents are filed within specified timelines.Distributes daily notes, evaluations and outcome forms to clinical coordinators weekly.Answers phones and links calls to therapists in the field, as needed.Distributes incoming faxes to team members who are often remote, involves a lot of scanning and emailing of documents including authorizations and orders.Maintains home binders, copying the correct documents and placing them in the appropriate binders.Helps PM/DCM and or lead therapists prepare for staff meetings, mails packets to those who do not attend.Processes employee mileage and expense reimbursement requests.Ensures all PCard duties and month end reconciliation are performed according to company procedures and timelines.Assists hiring managers with recruitment process in applicant tracking systemProcesses new hires and ensures new employees, contractor, and students are oriented, trained, and informed of applicable company policies and procedures.Initiates and maintains current employee and contract personnel files in compliance with company policies and procedures, and all applicable licensure/certification/accreditation requirements. Works with supervisors to ensure collection of all necessary current documentation within required timelines. Closes/archives personnel files per company policy/procedures.Monitors PAF process and entry into HRIS and ensures employee data in HRIS is accurate.Supervises direct reports, if applicable, and performs all duties inherent in a supervisory role.
