The Executive Assistant provides advanced administrative support for two Managing Directors within Evernorth Health Services, Technology Organization. Handles requests, schedules appointments/manages calendars, travel arrangements, shipping and mailing requests for leaders. Prepares and submits expense reports. Coordinates and prepares materials for meetings and presentations. Composes correspondence prepares reports and tracks and maintains department organizational charts. Handles department invoicing process, coordinates procurement and accounts payable processes. Provides logistical support to department, including equipment requests, organization of fax/copy/mail area, ordering supplies. Coordinates onboarding for new employees. Maintains general organization of the department common spaces. Orders departmental supplies and conducts special projects as assigned (e.g., department moves, project tracking).
ESSENTIAL FUNCTIONS :
Works on special projects as assigned by Leadership.
Sets up meetings and coordinates travel arrangements.
Book conference rooms and help with offsite meeting planning, and logistical support leadership meetings.
Communicate with various leaders, department leads/teams, clients, vendors, and partners. Edit and post agendas, notes, and action items in a timely manner.
Performs administrative functions.
MINIMUM QUALIFICATIONS :
High school diploma or equivalent, Bachelor’s degree preferred.
Years of Experience:
4-6 years of relevant experience providing executive level support
Required Skills:
Strong organizational and time management skills (various time zones)
Excellent written and oral communication skills are essential, executive presence and ability to participate in confidential and privileged meetings are necessary.
Advanced proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
Proficient with expense systems and email systems
Knowledge and Abilities:
Ability to work independently and take ownership of work and deliverables.
Ability to work in a team environment and exhibit initiative.
Ability to keep sensitive information confidential is critical.
Knowledge of business operations and policies is helpful.
