Position Summary
Position Description:
Responsible for the operation, service, staff supervision, and visitor management functions of the 1855 Place Welcome Center that supports Student Life and Engagement Administrative offices, Athletics Department Administrative Offices, Sparty’s Market, Spartan Ticket Office, Spartan Spirit Shop, Starbucks, and the Housing Assignments Office. Ensures that a diverse array of visitors are provided exceptional customer service. The Welcome Desk Coordinator serves as the central administrative support for the overall operations of the 1855 Place Office Building by streamlining communication between units as well as serving the university community.
Description of Duties
Welcome Desk Coordination and Customer Engagement 45%
Provides general support to both internal and external customers.
Uses discretion and judgement to problem solve issues and concerns.
Responsible for answering primary divisional telephone numbers and responding to those inquiries.
Responsible for answering high volume divisional internet chat (Kipsu) in a professional, caring, and positive manner.
Maintains in-depth knowledge of housing and dining operations.
Remains familiar with current and upcoming divisional and University events and activities.
Receives and distributes mail and packages to all individuals and units in the building.
Staff Supervision 25%
Direct oversight of the welcome desk staffing.
Responsible for hiring, training, supervising, coaching, scheduling, and payroll approval of student team members.
Develops staff with skills necessary to create positive customer interactions.
Provides staff tools to problem solve guest concerns.
Ensures staff can successfully support guests in all interaction types; in person, on the telephone, and Kipsu chat.
Administrative Support 15%
Monitors, advises, and approves the use of building conference rooms and SLE vehicles. Coordinates with SLE Admin units and facilities staff as necessary.
Manages the distribution of divisional visitor parking passes. Maintains building directory and approved driver lists.
Distributes monthly building schedule to building partners.
Maintains building signage in alignment with divisional brand standards.
Building Operation Support 5%
Responsible for store fronting the building in accordance with the building schedule.
Daily unlocking and locking of the training rooms.
Secures lock box and training room keys.
Supply and Inventory Management 5%
Orders and maintains the inventory of supplies for the Welcome Desk and first floor offices.
Reports building maintenance issues to facilities staff and equipment maintenance issues to vendors; confirms and communicates resolution.
Coordination and Compliance 5%
Coordinates with facilities, administrative, and retail staff regarding operational practices and needs.
Helps develop and ensure compliance with department policies and procedures.
All positions in SLE are designated as critical status. In the event of a university closure, modification, or suspension of operations due to snow or other emergency condition, persons in this position are expected to make all reasonable attempts to report to work as scheduled for the duration of the closure/suspension. If a person has an approved remote work agreement to work a portion of their normally scheduled work hours remotely, they may be called upon to work on-site to serve the MSU community.
Unit Specific Education/Experience/Skills
Knowledge normally acquired through a high school education; three to five years of related and progressively more responsible or expansive work experience in word processing, spreadsheet, database and/or desktop publishing software; presentation and webpage software; typing and filing; maintaining accounting ledgers; may require knowledge of technical or medical terminology and/or technical knowledge or training related to the field of employment such as keyboarding and electronic filing; or an equivalent combination of education and experience.
Desired Qualifications
Desired qualifications include strong customer service skills with excellent interpersonal skills. Strong ability to organize and prioritize work, take initiative, work independently, be flexible, learn quickly and collaborate as a member of a team. Timeliness, dependability, attention to detail, ability to make effective decisions, ability to work with frequent interruptions and discreetly handle confidential information are key. Proficiency in Microsoft Office software. Knowledge of Student Life and Engagement units/departments and MSU campus is preferred. Experience working directly with people from diverse racial, ethnic, socioeconomic, LGBTQIA+, and gender backgrounds. Ability to flex communication style to multiple cultural environment and social identities.
