The Office of the Executive Vice President and Provost at the University of Virginia (UVA) seeks applications for an Events Coordinator to support Morven, a 3,000-acre UVA Foundation-owned historic property, located off Rt. 795 near Monticello. This position presents an exciting opportunity to join the Morven team as we develop the role and mission for Morven as UVA’s Sustainability Lab. The Events Coordinator will assist with a variety of event activities, including updating the Morven event schedule, coordinating with vendors, handling event inquiries and client accounts, administration of venue rentals, helping to plan and execute events. They gather cost information and make recommendations to the Morven Director, compile event material and run sales reports, and maintain client lists. They coordinate details and event logistics and adhere to a budget. Assigned tasks are executed under the supervision of the Morven Program Director. Event coordinator works closely with Morven Programs and UVAF Estate Management staff, building strong relationships for effective event management. Some evenings and weekends are required.
Event types range from classes, retreats, intimate luncheons, dinners/receptions and conferences, to large scale public events. Clients include University of Virginia affiliates and other educational institutions, international visiting leadership programs, non-profits, governmental entities, and corporate groups. The position assists with administrative and operational aspects of preparing and implementing Morven events to assure that Morven clients expectations are met and exceeded.
Responsibilities:
Assists with coordinating events, including scheduling facilities, venue walk throughs with potential clients, communicating rental cost information, ensuring adequate equipment for events, tracking expenditures, and adhering to a budget for events.
Updating the Morven Events Calendar and ensuring it relays information required by Morven Programs and UVAF Estate Management staff.
Communicate and collaborate with the administrative coordinator to ensure tracking and timely reconciling of client payments.
Working with the Program Director, Administrative Coordinator, UVAF Estate Management, and UVA student personnel to ensure all events are staffed appropriately.
Coordinating with vendors and maintaining preferred vendors list
Ensuring AV equipment is properly set up and tested with the client
Making sure the space set up satisfies the client and ensuring vendors have cleaned up appropriately.
Maintains cleanliness of event rental spaces; including trash removal outside of catering/vendor expectations, organization of spaces, and vacuuming/sweeping between scheduled cleaning services.
Assist clients with table and chair set up for small retreats.
Duties as assigned: Assisting the Morven Programs Director by planning events for Morven-led educational programs, including helping with arranging classes, K-12 field trip programming assistance, arranging parking attendants, helping set up tables and chairs. Morven programs occasionally hosts guests overnight within our lodging facilities. Duties can include but are not limited to, arranging for housekeeping, ensuring toiletries are set, communicating with lodging coordinators, arranging for continental breakfast.
Requirements:
High school diploma or equivalent
Flexible work schedule; some evenings and weekends required.
Valid Driver’s License
Ability to lift 25 lbs
Preferred Qualifications:
Bachelor’s Degree
Two-year’s experience working in customer service
Excellent oral and written communication skills
Career track of Marketing, Event Planning
Ability to work independently and as part of a team.
Knowledge of basic computer applications and various database and software programs, such as Outlook, Word, and basic Excel is preferred.
This position is in-Person located in Charlottesville, VA.
The anticipated start date is March, 2024.
This position is a restricted position and is dependent upon project need, availability of funding and performance.
Anticipated Hiring Range: $45,000 - $55,000 commensurate with education and experience.
