Summary
The Licensed Office Manager is critical to keeping the daily operations of the practice running. Responsibilities include but are not limited to developing and overseeing operating procedures, maintaining records and client files, handling/distributing postal mail, ordering supplies, utilizing Thrivent computer systems and programs in support of client relations, and other administrative tasks as assigned. This position is employed by Catalyst Financial. Compensation for this position is $27-35/hr depending upon licensure and experience.
Job Description
Responsibilities
Maintain inventory and purchase office supplies as needed
Process and distribute all physical mail
Track and record all business expenses
Develop and oversee Standard Operating Procedures for business
Execute on Standard Operating Procedures
Lead strategy, development, and implementation of projects
Monitor and support licensing and continuing education requirements for all members of the team
Develop and maintain all regulatory files
Manage utility providers and maintenance of equipment
Maintain professional appearance of all the office areas
Organize and maintain printed marketing materials for mailings and distribution
Assist with the organization and execution of events
Maintain CRM (Salesforce) Campaign information related to an event
File client meeting notes in (CRM) Salesforce, shared drive, and physical cabinets
Organize and maintain client correspondence
Maintain internal mailing lists, birthday card lists, and monthly calling lists
Maintain physical or electronic files
Version control of marketing materials
Maintain, organize, and follow up on Excel worksheets
Supports projects, administration of various programs, and processing functions as needed
Provides back-up support on tasks that do not require any type of licensing or registration for other staff members, as needed
Completes other miscellaneous tasks as assigned
Qualifications
Securities (6/63, 7/66, or 7/63 & 65) and Life, Health, and Annuity registration required
Previous administrative/secretarial experience desired
Strong technical computer aptitude and knowledge of business tools (e.g., Microsoft Word, Excel, PowerPoint, Salesforce)
Ability to handle multiple tasks and maintain a high quality of work while experiencing frequent interruptions

As part of Catalyst Financial's recruiting/hiring/contracting process, a verification of a candidate's background will be made to complete the process.
