Supporting the Meeting Management Team for assigned program deliverables is key to Junior Meeting Managers. Be the primary liaison for management of program deliverables (Attendee Management, Transportation, Small Program Planning, Reconciliation, etc.). Reporting to Team Leader and building a working relationship with clients and third-party suppliers. Must have 3 years of professional experience in the meetings events industry and 2 years of professional experience in event housing and registration management.
What You'll Do:
Meets all established deadlines
Leads attendee registration and housing
Handles VIP, sponsor and speaker registration, special requests accommodation assignments
Processes individual registrations for participants and/or assist with questions regarding registration
Produces name badges, labels and tent cards, etc.
Ships program materials including travel director packets
Performs quality review of all registration data
Runs transportation manifests
Works with group air team to handle attendee travel
Manages client relationships and logistics (i.e. FB, AV rooming lists) for small programs, as needed
Travels onsite to programs, as needed to run logistics and registration desk.
Use Cvent system to manage programs.
Builds and runs reporting timeline, documents and spreadsheets for assigned programs, as required by team and client.
Maintains accurate records, data input, and complete file management as outlined in American Express Meetings Events and client policies and procedures.
Builds and delivers custom forms/reports to client and team such as sign-in sheets, breakout schedules, rooming lists, transportation, etc.
Processes supplier invoices as required.
Reconciles events and expenses as needed.
Runs standardized reports for assigned programs on set schedule
Assignment of special projects as needed both internal and for the client
Participates in client meetings and conference calls
Communicates timelines with clients, vendors and team.
Participates in pre-con meeting one week prior to program operation by providing updates on assigned tasks.
Orders and verifies supplies for team and programs.

What We're Looking For:
2 years business experience or college degree
2 years of past meeting planning/attendee management skills required.
Ability to communicate effectively and professional with all levels of management and clients.
Appearance needs to always be neat and professional
Confirmed organizational skills
Ability to prioritize multiple demands
Ability to work accurately and timely – in order to meet deadlines.
Ability to travel by airplane, boat, rail and/or car 25-35% of the time.
Ability to be flexible and handle change well.
Excellent digital literacy, knowledge of Microsoft Office tools ability to learn new technology quickly
Ability to analyze and manipulate data in MS Excel and build custom reports
Strong interpersonal communication customer service skills
CVENT experience/proficiency preferred

The US national annual base salary range for this position is from $46,000 to $93,000. The national range provided includes the base salary that GBT expects to pay for the role. Actual base salary will be based on factors including the scope and complexity of the role and the successful candidate’s relevant experience, skills, knowledge, and work location.
