Click here to learn more: What to expect: Under immediate supervision of the Senior Director of Information Systems & Innovation, the Information Systems Coordinator assists the Operations, Information Systems & Innovation, and Health Services departments with administrative tasks and project coordination. The Information Systems Coordinator is an advocate to our mission "to affirm the right to reproductive and sexual health and freedom for all by providing excellent care, trusted education and fierce advocacy." They may perform other related duties as assigned. Schedule: 40 hours per week, Monday - Friday 8am - 4:30pm. Mostly remote, with travel to Saint Paul, MN 2-3 times per month. Must live within commuting distance of Saint Paul, MN. Responsibilities: This position will impact us with the following contributions: Operations / Information Systems & Innovation (approx. 70%) Information System Coordination Optimize the Health Services SharePoint site by monitoring and improving its organizational structure and updating and archiving information as needed Coordinate with IT partners to manage and map patient-facing forms in the electronic health record (EHR) system Ensure the roster of health center locations and clinicians in the Press Ganey patient survey portal is kept up to date through monthly auditing and information submission to the Press Ganey applications team Monitor and report out on the utilization of patient-facing forms accessed on patient education tablets utilizing a centralized tracking system Serve as the liaison between new hires and IT vendor deskside team during on-site training at the Vandalia administrative building to troubleshoot challenges experienced by the new hires when navigating PPNCS information systems, including but not limited to Okta, UKG, NextGen, and SharePoint Ensure health center clinical assets and equipment inventory is uploaded annually into the FMX information system Maintain virtual directory of patient-facing forms and ensure the inventory of forms available for staff to print and/or order is up to date Participate in implementations focused on standardization, optimization, and maximization of resources Project Coordination Support the implementation of projects at every stage from project assignment through final post-launch assessments and recommendations Prepare communications/reports regarding status of assigned projects in the Operations/Information Systems & Innovation departments Create supporting documents and materials for project implementation (e.g., SOPs, spreadsheets, and research findings) Perform other duties as assigned Health Services (approx. 30%) Organize, revise, archive, and publish chapters of the Medical Standards & Guidelines (MS&G) as directed by the PPNCS Medical Team Facilitate Medical Standards & Guidelines (MS&G) Core Team meetings Direct Health Services Forms Committee and subgroup meetings, record and publish the meeting agendas, minutes, and follow-up items Facilitate translation of patient-facing forms into the most frequently spoken languages in the 5-state region Serve as the liaison between PPNCS and the Title X Information & Education (I&E) Committee Organize, revise, archive, and publish patient-facing forms Guide the IT vendor deskside team on the set-up and tear-down of IT equipment needed for Health Services new hire training Support Medical Leadership and the Health Service Administration Team (HSAT) by completing administrative tasks (e.g., agendas, recordings, minutes, and follow-up items) for meetings including but not limited to Clinician calls, Medical Standards & Guidelines (MS&G) Core Team, and Ultrasound team Perform other duties as assigned Minimum Qualifications: 2 years of experience in a project coordinator or similar administrative support role Experience working with information systems and/or healthcare Experience working with multiple departments or stakeholders Benefits: This position is eligible for: A comprehensive benefits package, including: Medical, Dental, Vision - With equity-based premium tiers NICE HEALTHCARE - free, virtual primary care for entire household (in-home available for qualifying locations) Services include: 80 free labs, free x-rays, and physical tests, live, virtual physical therapy, 550+ free medications Flex Spending Account Life insurance PTO, Float holidays, Volunteer Paid Time Off, Paid Holidays 403(b) Eight weeks paid Parental Leave Pet Insurance Please note: We require all PPNCS employees, volunteers, interns, and fellows to have a current, up-to date, COVID vaccine (Exemptions may be provided for medical, disability (ADA) or religious reasons.)
