Position Overview :
The Administrative Executive within the HR Department fulfills a broad function by offering administrative assistance to the HR team and overseeing the Head Office of BVVN. This role primarily involves executing diverse day-to-day responsibilities in support of the organization and other departments. Proficiency in this position is evidenced by the effective and efficient completion of tasksaligned with the established standards and guidelines.
Tasks and Responsibilities:
Staff Support:
VISA/WORK PERMIT application and logistics for guests, business trip visa for local employees
Taxi (Mai Linh, Vinasun) card/Grab account management, parking slot for new employees.
Claim instruction private health insurance for employees.
Manage and process monthly payment with vendor such as phone bills, express, stationery, taxi, airplaine, cleaning service, car rental,… Monitor usage and costs, verify invoices, and ensure timely payment.
Operate the office hotline and forward it to the appropriate department
Reception duties and welcoming guests when needed
Traveling Expenses for HR Manager and CCE: Handle all travel arrangements and expenses for the HR Manager and CCE, including booking flights, hotels, tea breaks, and lunch/dinner for meetings, and managing reimbursements.
Other Office Tasks: Handle various administrative tasks such as managing incoming and outgoing mail, coordinating courier services, scheduling appointments – company car, and providing general administrative support to the HR team.
Additional duties may be assigned as needed to meet the business requirements.
Requirements:
Bachelor's degree in business administration or related field.
Minimum of 2 years of experience in administrative or office management roles.
Strong organizational skills with attention to detail and the ability to multitask.
Excellent communication skills, both written and verbal (both English and Vietnamese).
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Knowledge of local regulations related to visa and work permit processes.
Ability to work independently and as part of a team.
Ability to handle confidential information with discretion and professionalism.
Strong problem-solving skills and ability to prioritize tasks effectively.
