Job Summary: Provide administrative support to the Chairman, President CEO and Vice President-Human Resources. Support to other Officers of the company, as needed. Also provides administrative support to the Human Resources Department. Coordinate reports, projects and special work assignments. The successful candidate will be passionate about supporting and driving the Company’s Values, RIGHT: Respect, Integrity, Growth, Honesty and Teamwork.
Work Performed: • All secretarial functions for executives, including general correspondence, Company and government required reports, and legal documents. • Screen e-mail, telephone calls and other correspondence of Chairman, President CEO and Vice President, Human Resources; resolve issues as the need arises. • Maintain calendar of Chairman, President CEO and Vice President-Human Resources for scheduling and confirming appointments. Monitor and reserve meeting rooms, when requested. • Compose own correspondence or for signatures of executives. • Review and prioritize incoming mail. Organize and maintain files. • Maintain “Tickler” file for scheduling and projects and follow through. • File updates to all reference material (employee handbook, policies and procedures, etc.). • Maintain tariffs for all regulated companies. • Attend and assist at various meetings and company conferences as needed. • Assist Vice President of Human Resources with Performance Management development. • Assist Human Resources Department in all aspects of updating and maintaining Human Resources Oracle system. • Assist Human Resources Department with administration of the CDL program. • Coordinate with all departments for training requests and registration for all companies. Ensure adherence to policy. Coordinate on site HR sponsored training. • Maintain annual attendance award program for all companies. • Maintain annual service award program for all companies. • Track and maintain tuition reimbursement program for all companies. • Update various forms, as needed. • Serve as recording secretary at meetings, when required. • Arrange for Company sponsored travel (air and ground transportation, lodging, etc.). • Obtain Motor Vehicle records of employees, annually and as needed. • Prepare monthly expense reports for Chairman, President CEO and Vice President-Human Resources.
