The Finance Division Associate will perform a variety of administrative and financial tasks in direct support of the Chief Financial Officer. This broad range of duties includes coordinating daily financial tasks, processing invoices, maintaining a digital record of financial documents, managing mail and correspondence, and organizing office supplies and inventory. They will also be responsible for maintaining financial records and providing support to the financial team. The Associate is integral to assisting the division in providing accurate timely accounting intelligence to its stakeholders, requiring excellent organizational skills and the ability to work well under pressure and time constraints.
Reporting, Working Relationships, and Classification:
The Finance Division Associate reports to the Chief Financial Officer and works closely with all Finance Division staff. This position is non-exempt and has no supervisory responsibility.
Essential Responsibilities:
Carry out administrative support functions: implement policies and procedures for the production of documents, workflow, and filing (including improving systems and naming conventions); prepare proposals, reports, and other written materials and meeting notes; and ordering of supplies for the divisionMaintain a master calendar of events and a daily log of activities for the CFO and division staff to arrange meetings and appointments, travel schedules, and special events utilizing high-visibility means of communication (e.g. shared Outlook calendars, SharePoint project plans, and Monday.com)Prepare agendas, correspondence, and memoranda; manage mail and compose responses, as appropriate. Attend meetings to take minutes, capturing deliverables and commitmentsManage project timelines and deliverables to assist with maintaining accountability for the completion of individual or group projects and tasks related to the successful operation of the Finance DivisionAssist with the preparation, presentation, and formatting of reports using the appropriate platform or systemSupport the editing of policies, procedures, and external presentations, both factual and persuasive, and the communication of those writings with internal and external stakeholdersEnter invoices and receipts into the accounting system and file supportive documentsCreate and file audit documentation throughout the month and compile requested documentation for the various audits and monitoring that EPG is subject to periodicallyAssist in developing plans for new projects, special functions, and events initiated by the CFO or their designee(s)Position Requirements
