The Department is seeking a talented professional to serve a project manager and the senior Executive Assistant to the Director of the Iowa Department of Health and Human Services. In this critical role, you’ll ensure that the agency’s Director is supported in overseeing the state’s largest agency. Positioned in the Director’s Office, this role functions in a fast-paced environment where priorities shift frequently, and needs arise quickly. As this position is a representative of the Director externally, operational excellence and great customer service are key. This position interacts with the agency’s leadership and has a role in maintaining all ongoing and emerging high-level initiatives including planning meetings, scheduling events, tracking ongoing initiatives and fulfilling priority requests. Successful candidates will have excellent organizational and project management skills.
The Iowa Department of Health and Human Services is the largest agency in the Iowa Executive Branch. HHS operates approximately a $7 billion dollar budget and provides services to more than 1 million Iowans. The Department is made up of several divisions that provide critical services to nearly 1 in 4 Iowans. The agency is responsible for most of the state operated assistance programs including Iowa Medicaid, food assistance as well as adult and child protective services, community-based mental health and disability services, mental health institutes and facilities that serve individuals with intellectual and developmental disabilities.

Key responsibilities:
Managing ongoing projects.
Developing the Director’s calendar, coordinating with internal team members, external stakeholders, legislators and the Governor’s office. This requires routine shuffling as the Director’s calendar is demanding and changes frequently.
Coordinating recurring and ad hoc meetings to ensure the Director is able to keep a robust schedule of stakeholder engagement and active engagement with her internal team.
Preparing daily materials as well as materials needed for the following day to ensure the Director is prepared and up to date for daily obligations.
Monitoring and filtering the Director’s email inbox to reduce the administrative workload for the director, including filtering emails that need to be redirected or processing meeting requests.
Regular coordination with stakeholders and legislators.
Assisting with take aways and follow up tasks from meetings.
Providing scheduling assistance to the Government Relations Director.
Providing administrative support to the Chief of Staff and Government Relations Director.
Taking notes and tracks follow up items from legislative meetings. Ensures appropriate follow up and assigns tasks as needed.
Developing content and agenda for executive team meetings. Facilitating follow up and coordination of executive team initiatives. Tracks follow up items.
Coordinating group activities, trainings, exercise and team building for the leadership team.
Providing back up support for:
The request for information (RFI) process
Payroll processing for the Director’s Office
Travel payment processing for the Director’s Office
Processing documents which requires the Director’s signature.
Travel may be required to assist with the Director’s schedule.

This is a non-merit position for the Iowa Department of Health and Human Services.
Positions in this class are exempt from the screening and referral requirements of the Iowa Department of Administrative Services - Human Resources Enterprise.
Minimum Qualification Requirements
Applicants must meet at least one of the following minimum requirements to qualify for positions in this job classification:
1) Graduation from an accredited four-year college or university with a degree in any field, and experience equal to four years of full-time professional-level work in program administration, program development, program operations, or management.
2) A total of eight years of education and/or full-time experience (as described in number one), where thirty semester hours of accredited college or university course work in any field equals one year of full-time experience.
3) All of the following (a, b, and c): a. Two years of full-time professional-level work experience in program administration, program development, program operations, or management; and b. A total of four years of education and full-time experience (as described in part a), where thirty semester hours of accredited college or university course work in any field equals one year of full-time experience; and c. A total of two years of graduate-level education and full-time experience (as described in part a), where twenty-four semester hours of accredited graduate college or university course work in a public-service-related area (e.g., public or business administration, social work, public health, law, education, engineering) equals one year of full-time experience. Graduation from the Iowa Certified Public Manager Program is also equivalent to one year of full-time experience or education.
4) Current, continuous experience in the state executive branch that includes twelve months of full-time work as an Executive Officer 1 or comparable specific management-level position.
