About Executive Assistant to the CEO

  JOB REQUIREMENTS: JOB PURPOSE AND REPORTING STRUCTURE: Under thedirection of the CEO, the Executive Assistant provides primaryadministrative support to the CEO, and secondarily providesadministrative support to the Leadership team. The Executive Assistantoversees and coordinates administrative services, processing of grantreports, maintains records and prepares routine reports andcorrespondence. ESSENTIAL DUTIES AND RESPONSIBILITIES include thefollowing. Other duties may be assigned. Produces information bytranscribing, formatting, inputting, editing, retrieving, copying andtransmitting text, data and graphics. Conserves CEO\'s time by reading,researching and routing correspondence; drafting letters and documents;collecting and analyzing information and initiating telecommunications.Maintains CEO\'s appointment schedule by planning and schedulingmeetings, conferences, teleconferences and travel. Maintains Boardschedule by planning and scheduling meetings, conferences,teleconferences and travel. Supervises the Administrative Assistant.Welcomes guests by greeting them, in person and/or on the telephone;answering or directing inquiries. Maintains and protects client andorganization confidence. Prepares reports by collecting and analyzinginformation. Provides historical reference by developing and utilizingfiling and retrieval systems; recording meeting discussions. Maintainsprofessional and technical knowledge by attending educational workshops;reviewing professional publications; establishing personal networks andparticipating in professional functions. Contributes to team effort byaccomplishing related results as needed. Develop and maintain dataprocessing procedures related to administrative services. Provideadministrative support for grant applications. Negotiate and manageoffice equipment contracts. Provide support services to maintaincorporate files, Administrative Policies and Procedures. Maintain files,minutes and correspondence for the Board of Directors. Follow and complywith all safety and work rules and regulations. Maintain departmentalhousekeeping standards. EDUCATION and/or EXPERIENCE: Requires anAssociate\'s Degree and minimum of five years of related experience; orequivalent combination of education and experience.
