About Administrative Assistant

Description We are seeking an Administrative Assistant to join our team in the Real Estate Property industry, based in Portland, Maine, 04101, United States. This role offers a long-term contract employment opportunity in a fast-paced environment where you will be responsible for various administrative tasks and providing excellent customer service.

Responsibilities:

• Handle all incoming calls using a switchboard, ensuring all phone lines (1-10) are managed professionally.

• Utilize MS Office suite including MS Excel, MS Word, and MS Outlook to manage and organize office tasks.

• Process customer applications with attention to detail and efficiency.

• Maintain and update customer records accurately, ensuring all information is up-to-date.

• Resolve customer inquiries promptly, providing quality customer service at all times.

• Monitor customer accounts and take appropriate action when necessary.

• Perform basic office tasks such as filing, copying, and organizing documents.

• Assist with other administrative tasks as needed to support the team and ensure smooth office operations. Requirements • Proficiency in basic office skills such as filing, data entry, and managing correspondence

• Exceptional customer service skills with a focus on maintaining positive relationships with clients and colleagues

• Experience in handling switchboards or multi-line phone systems

• Proficiency in Microsoft Office Suite, including MS Excel, MS Word, and MS Outlook

• Ability to multitask and prioritize tasks in a fast-paced environment

• Strong written and verbal communication skills

• Excellent organizational and time management skills

• Familiarity with real estate and property industry standards is a plus but not mandatory

• High school diploma or equivalent; further education in Office Administration is a plus

• Attention to detail and problem-solving skills

• Ability to handle sensitive and confidential information with discretion.
