The CEO of Ginkgo Bioworks is looking for an Executive Assistant to support him in our fast paced, exciting environment. We are seeking someone who is well seasoned, dynamic, with extensive organizational savvy and knowledge/ experience working with senior level executives who have complex scheduling needs.
The ideal candidate is a skilled multi-tasker and eloquent communicator who is comfortable working in an ambiguous environment with several competing priorities. In addition, we are looking for someone who is passionate about what we do and passionate about learning and utilizing advanced technologies and cutting edge techniques such as AI to advance and heighten the work within the role. This position is full time, in office to greet / represent the CEO to high level government officials and executives from global companies at our headquarters in Boston.
Responsibilities:Build and support relationships throughout the organization to support, coordinate and manage happenings related to all CEO/organizational initiatives as needed.Schedule meetings and conference / Zoom calls: Coordinate with external EAs, Commercial and Business Development teams for onsite customer meetings. Oversee lists of attendees and requisite correspondence, send calendar invitations, maintain meeting agendas, and manage logistics such as conference room bookings, parking, phone/video conferencing technology, and meals (as necessary).Maintain the CEO's complex calendar: Calendar "gymnastics" at its finest. Ensure all details are up to date, anticipate conflicts, resolve scheduling issues, and prioritize items based on their needs. Some arranging of personal tasks and coordination with personal calendaring will also be required.Monitor the CEO's email: organize and prioritize emails, draft responses that need to be addressed directly by CEO and respond to any emails that can be handled without the CEO being directly involved.Anticipate executive's needs: Be extremely knowledgeable of individual preferences and expectations, and work proactively to prevent problems before they develop.
Prepare background research and materials such as background notes for customer meetings, handouts, and presentations for meetings and conferences.Coordinate and plan various events and onsite meetings: Gather and assemble slides from necessary team members, coordinate meeting space and A/V equipment, work with caterers to supply food.Board Meeting and Earnings Calls support: Work with the executive team to prepare for and execute Board meetings - work with the other Board member EAs to determine Board dates; send calendar invitations; coordinate practice sessions; help prepare board slide deck; arrange day-of logistics like conference rooms, meals, transportation, etc. Working knowledge of BoardVantange application a plus. Work with Communications and Investor Relations teams to coordinate earnings calls.Other Administrative Tasks: Book global travel, process expense report, timesheets and more.Minimum Requirements:High School Diploma with at least 15+ years of experience or Bachelor's degree with 10+ years of experiencePrior experience supporting C suite level employeesMust be proficient in all G Suite applicationsWillingness to learn and utilize advanced techniques (AI) to improve the way we work; getting it done in cutting edge ways.
