As an Executive Assistant, Business Affairs you would be an integral part of the team that is responsible for negotiating deals for actors, producers, writers, directors and rights acquisitions for Walt Disney Pictures. You would provide overall administrative support for busy executives and other team members as needed, including but not limited to answering phones, maintaining busy calendars, arranging day-to-day meetings, tracking projects, and maintaining complex paper and digital filing systems.
This position will support the Senior Vice President and the Vice President of Business Affairs for The Walt Disney Studios, with additional support for the team as needed.
What You Will Do
Act as primary contact for all incoming phone calls and communications (both mail and email)
Coordinate meetings, logistics, and materials; take meeting notes as needed
Manage calendars, including travel coordination, long range planning and day-to-day meetings
File electronic and paper reference materials, background, and overview information
Create tracking systems for deals and projects, while keeping leaders updated on status
Assist with preparation of deal memos, including drafting and proofreading
Prepare all business-related expenses, ensuring expense reports and invoices are completed and filed in a timely manner
Order supplies/materials and process invoices where necessary
Partner and work extensively with internal departments and external vendors to provide and/or receive necessary information, materials, approvals, updates, etc.
Support departmental projects as needed
Troubleshoot occasional facility issues
Perform additional duties as required
Required Qualifications & Skills
Friendly, easy-going manner to handle varied personalities, responsibilities and assignments
Excellent written and verbal communications and interpersonal skills to ensure successful interaction with senior executives and business unit contacts and key external partners
Ability to make independent decisions in the handling of sensitive and confidential information while exercising good judgment and discretion
Detail oriented with superior organization skills
Competency in general administrative skills including answering the phone, filing, etc.
Excellent competency in typing/spelling with proficiency in database management and Microsoft Word, Excel, Outlook, and PowerPoint
Strong technology literacy
Availability to work overtime when special projects dictate
Team player - willing to work with other assistants and staff at all levels in support of the Business Affairs team
Organized in thinking and execution to maintain efficient office, files, database, and information
Ability to multitask with urgency
Positive attitude and the ability to be proactive, resourceful and flexible
Exceptional organizational and follow-thru skills with the ability to work on many projects simultaneously
Preferred Qualifications
Overall working knowledge with the SAP system desired
Concur, NetDocs, Keynote, and both PC and Mac experience a plus
Education
Bachelor’s Degree or equivalent experience preferredAdditional Information

The hiring range for this position in Burbank, California is $57,900.00 to $77,500.00 per year based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
