Position Summary: The Executive Administrative Assistant will provide administrative support for Ergotron s Executive Team, including but not limited to the Chief Operating Officer, Chief Commercial Officer and others on the Executive Team as needed. Main responsibilities include Outlook email and calendar support, PowerPoint, Excel and Word document creation and updates, scheduling and managing meeting details, event planning, booking travel arrangements, and creating expense reports. This position requires strict confidentiality, work accuracy, efficiency, and the ability to juggle multiple tasks simultaneously with minimal supervision. Position Responsibilities: Responsible for Outlook email and calendar support for Ergotron s Executive Team. Manage travel arrangements for Executive Team Members and others as needed. Coordinate Teams meetings, ensuring meetings include agendas, objectives and follow-up actions are clearly documented and communicated. Order meals as needed for Executive Team Meetings, interviews and team events. Responsible for expense report creation and assistance for COO/CCO and other Executive leaders as needed. Microsoft Suite support for Executive Team including Outlook, Word, PPT, Excel creation and updates. Champion of leadership change and improvement initiatives. Assist with Interview scheduling and travel arrangements for senior leadership candidates. Responsible for onboarding plans coordination of new hires in senior leadership roles reporting to the Executive Team. Assist with reporting and communication needs for the Executive Team. Responsible for scheduling and coordination of Executive Team offsite meetings, including hotel or space reservations, meals, supplies and other meeting needs. Plan and coordinate company-wide events with the Events Committee and the Senior Executive Administrative Assistant. Assistance with setup and materials, presentations for Monthly Leadership Meetings and Quarterly All Employee Meetings as needed. Draft email and other communications on behalf of Executive Team as needed. Responsible for the coordination of Ergotron s North America sales meetings, working with the Senior Executive Administrative Assistant. May be needed to act as a back-up resource to the Finance team for travel and expense activities. Support HR and Executive Team projects, as needed. Additional duties as requested. Supports Lean Business Enterprise initiatives for continuous process improvement and waste elimination.
