About Executive Assistant

  Executive Administration: 80% Review & sort through phone calls, emails,snail mail & other correspondence; Liaise between top executives, Board,major donors & other key stakeholders & the President. Staff thePresident during events, meetings, & conferences. This may includedomestic & international travel. Perform expense reconciliations &tracking for Finance team; Complete projects & special assignments byestablishing objectives; determining priorities; managing time; gainingcooperation of others; monitoring progress; problem-solving; makingadjustments to plans as needed. Assist in drafting, & reviewing &copy-editing of documents, letters, & content in collaboration with theCommunications Department for external communications & press needs;Update job knowledge by participating in educational opportunities;reading professional publications; building professional networks; &participating in professional organizations. Improve quality results bystudying, evaluating, & redesigning processes; implementing changes.Calendar Management - Organize & maintain the President\'s schedule,including appointments, meetings, travel arrangements, & speakingengagements; Manage & screen all incoming communications for thePresident including emails, calls, & correspondence? prioritizing &drafting responses as needed, ensuring a timely & accuratecommunication; Arrange travel & meetings by developing itineraries &agendas; scheduling flights; booking other forms transportation;arranging lodging & meeting accommodations to ensure all logistics arehandled seamlessly & align with the President?s preferences & schedule;Track hours & submit timecards in a timely manner; Personal Duties: 20%Handle personal tasks & errands, manage household affairs, & coordinatewith service providers; Evening & weekend work may be required based onevents & President needs; Support the President in any additionalassignments & tasks as requested. A successful candidate must have thefollowing skills & experiences: At least 3 years of experience as apersonal assistant/assisting an executive or C-Suite office required;previous administrative experience preferred & experience with global,legal, &/or non-profit organizations is a plus; Awareness & interest incurrent events & issues relating to human rights around the world; Ademonstrated passion & understanding of RFKHR?s mission & legacy;Ability to proactively anticipate needs & take independent action, usinggood judgment, to resolve issues; Demonstrated experience booking &coordinating domestic & international travel; Ability to travel at leastfour times a year; Ability to work from Hyannis Port, MA to supportevent preparation & President projects; High level of integrity &discretion in handling confidential information; Strong typing skills -feel comfortable note-taking & drafting up correspondence; Workingknowledge of social media platforms (Facebook, Instagram, LinkedIn,Twitter, etc.) & ability to draft written content; Proficiencynavigating & problem solving with systems such as Windows 10 OS & Appleproducts; Experience working on online platforms such as Zoom, G-suite,MS-Office suite, & Mac Compatible products; Microsoft Excel. Strongverbal & written communication skills; Strong attention to detail & ableto scope out errors, including a willingness to own & fix mistakes;Exceptional time management, including the ability to manage multipletasks & projects at once; Ability set goals & monitor progress towardsgoals; Strong work ethic - you?re flexible, patient, & able to staygracious under pressure; Strong sense of teamwork & appreciation forinclusion - ability to build positive relationships with colleagues &stakeholders with different backgrounds, experiences, & perspectives;Preferred but not required qualifications: Experience working with CRMssuch as Salesforce; Demonstrated exp. directly managing others intern ,volunteers)
