Document Controls Coordinator -- Position and ResponsibilitiesAs a Document Controls Coordinator with Middough, you will be responsible for project document management utilizing Middough's Document Control platform (Newforma). In this role, you will also handle administrative duties per client policies and procedures. Additionally, you will work closely with the Document Controls team and Project Managers to support project execution.
Responsibilities include, but are not limited to, the following:Collect, organize, and maintain project documents through Newforma.Generate document logs and action items list using Newforma.Handle and record documentation of project transmittals, vendor/contractor document reviews, construction contractor Requests for Information (RFI) and other important project information through Newforma.Attend project meetings as requested by management and/or project team.Assist with the assembly of RFQ packages for suppliers.Assist project and business development team with project qualifications, proposals, and presentations to meet project schedule and budget.Support Project Manager by taking draft meeting minutes, and video record MS Teams Meetings.Check and correct formatting of MS Word, MS Visio, and Adobe PDF based project documents.Manage office supply inventory to include ordering of supplies based on business need.Coordinate client and vendor meetings in collaboration with project team.Attend project meetings as requested by management and/or project team.Handle any/all assigned administrative duties based on company business needs.Education, Experience and SkillsThe successful candidate will possess the following:Associate degree preferred; high school diploma required.2+ years of experience in a project coordinator role preferred.Hands-on experience with document management / project information management (PIM) software, such as Newforma, ProCore, Autodesk BIM 360, PlanGrid, Aconex, DocuWare, Viewpoint or e-Bulder is highly desired.Hands-on experience with document mark-up software, such as Bluebeam Revu is desired.Familiarity using Bluebeam's collaboration and revision control functions within the Bluebeam Studio sessions is also desired.Ability to establish and maintain relationships with clients and all levels within the company around professionalism, trust, integrity, and collaboration.Ability to multi-task and be highly organized for effective project document controls.Excellent attention to detail.Strong analytical and problem-solving skills.Strong working knowledge of Microsoft Office products.Excellent verbal and written communication skills.Excellent interpersonal skills.Physical RequirementsThe characteristics described below are representative of those encountered while performing the essential functions of this position.
