About Divisional Executive Administrator

  Overview

  The Divisional Executive Administrator – SBS will have multiple responsibilities of supporting the efforts of the Senior Vice President of SBS and the Divisional AVPs and Directors of Operations and Service (SBS), ensuring the smooth functioning of SBS headquarters national sales, operations, and service areas.

  Responsibilities

  Administrative Support:

  Provides administrative support to the SVP, Regional AVPs, and other Divisional Sr. Executives by managing calendars, scheduling appointments, preparing presentations, and coordinating travel arrangements.

  Inputs and process T&E reports electronically in the expense reporting system for the Sr. Vice President and other Senior Executives.

  Maintains organization charts for SBS branches.

  Orders and inventories office supplies for the department.

  Maintains and reconciles P-Card purchases and submits reports monthly in the expense reporting system.

  Plans and organizes Team sales meetings and dinners including location, set-up, A/V needs and food and beverage.

  Serves as “New Hire Buddy” for all SBS Montvale HQ new hires

  Provides additional miscellaneous administrative support across the divisions as directed by SVP of SBS

  Coordinate all HQ VIP Visits, planning attendees agenda.Sales, Operations, Service Support:

  Coordinates and collaborates with the Regional AVPs and National Directors of Operations and Service to ensure the smooth execution of sales and operational activities across multiple locations or regions when needed.

  Provide and publish sales data from the branches for monthly stack rankings, President’s Club and incentive status by salesperson to the leadership team.

  Maintain real-time charts showing the actual assigned quota for each of our 40+ sales managers.

  Coordinate and communicate meetings and events for Senior team including travel logistics and venue details.

  Interface with Human Resources to maintain real time sales staffing status for each branch allowing the SVP and Regional AVPs to know at all times staffing levels and requirement in all branches.

  Interface with Human Resources to pull sales turnover reports so that action plans can be developed for problem branches/managers.

  Create statistical reports using sales productivity data and turnover data to identify improvement opportunities in our hiring profiles and processes.

  Maintain monthly branch data that ranks branches on numerous categories versus plan to be submitted to SVP and Regional AVPs at the beginning of each month.

  Manage and assure expense reporting for Senior Team is done in a timely manner and according to current T & E policies.

  Assist national Directors with the execution of special projects that occur during the fiscal.

  Qualifications

  Must have a minimum of 8 10 years progressively higher level of administrative experience in support of executive level management.

  Minimum 3 years experience in a sales, marketing, or similar support role

  1-3 Executive Assistant experience preferred

  Extensive experience with Microsoft Excel and PowerPoint presentation preparation

  Familiarity with SAP a plus

  Superb communications, organizational, and computational skills

  Strong ability to work independently and receive direction remotely.

  Ability to operate in an autonomous fashion with minimum guidance and direction.

  Excellent communication skills, both verbal and written.

  Excellent interpersonal skills required with the ability to quickly build rapport with internal and external partners.

  Ability to prioritize, multi-task and meet deadlines.

  Occasional travel required

  Must be well organized.

  Compensation for this position

  The compensation range for this role is $51,750- $92,700. The listed salary range or contractual rate excludes bonuses, incentives, differential pay, and any other forms of compensation or benefits. The starting salary will be determined by several variables, including but not limited to experience, education, training, certification, and location. You may also be eligible to receive an annual discretionary incentive award, commissions, and program-specific awards, which are subject to the rules governing these programs.
