DISTINGUISHING FEATURES OF THE CLASS: This position exists in the Schenectady City School District Office of Planning & Accountability (OPA) and involves responsibility for Project Management oversight of several OPA initiatives, including managing day to day office procedures. Under the direction of the Assistant Superintendent of District Initiatives, Planning & Accountability, the Project Manager will play a critical role in supporting the coordination of projects between the Office of Planning & Accountability and other departments. The incumbent will routinely run reports, analyze, manipulate, interpret and display data to inform program decisions. It is expected that the Project Manager will work with the Assistant Superintendent to define requirements and scope for project development and monitor projects to ensure goals and deliverables are kept on track.
TYPICAL WORK ACTIVITIES:
Project Management oversight for several OPA related initiatives; coordinates and deploys resources as assigned by the Assistant Superintendent
Manages visitors and phone calls that come directly to OPA
Maintains materials and supplies for OPA
Manages IRB Process communication and transfer of documents with outside person/organization to Director, including setting timelines for review and approval/disapproval
Supports the Homeschool process in coordination with BOCES, including:
Maintaining updates in IC (i.e., document upload and registration updates) for registration and buildings per homeschool coordinator with BOCES
Providing information to homeschool coordinator with BOCES as applicable
Managing communication to families (i.e., letters of out of compliance) and prepares to have delivered by parent liaisons
Supports NYS testing needs as directed by supervisor, which may include organizing and disseminating documents to buildings from OPA
Collects, reviews, and follows processes for hardship requests with Registration and/or SSS and verifies enrollments
Maintains agendas, sign-in sheets, and meeting notes for all meetings for Assistant Superintendent and Director of Planning and Accountability, as applicable
Works with Business Office to communicate with nonpublic schools/organizations related to Title funding purchases and requests
Assists with editing of documents such as data booklet and department newsletter to ensure correct messaging
Assists Transportation Department with requisitions and purchase orders
Assist IT department with requisitions and purchase orders
Manages monthly check-in agendas/meetings across all district divisions
Ensures that all projects are delivered on-time, within scope and within budget
Develops a detailed project plans to monitor and track progress.
Creates and maintain comprehensive project documentation.
Tracks project performance, specifically to analyze the successful completion of short and long-term goals.
Performs other duties as assigned

Job Qualifications
(A) Graduation from a regionally accredited or New York State registered college or university with a Master’s degree in business management, business administration, public administration, education or related field and two (2) years of office management, administrative or program management experience; OR
(B) Graduation from a regionally accredited or New York State registered college with a Bachelor’s degree in business management, business administration, education or related field and four (4) years of experience as outlined in (A) above; OR
(C) An equivalent combination of experience and training as defined by the limits of (A) and (B) above.
