Position Summary:
The Administrative Assistant coordinates, oversees, and provides a variety of administrative support functions in support of the Dean of Nursing and the faculty. Collaborates with colleagues' college-wide and Carle Health to develop and apply continuous improvement strategies within the academic departments and college.
Qualifications:

SKILLS AND KNOWLEDGE Skills and Knowledge: Administrative office procedures and best practices. General office maintenance and practices. Customer service skills. Strong interpersonal and communication skills with the ability to work effectively with faculty, staff, and students. Skills in organizing resources, establishing priorities, and meeting deadlines. Experience managing electronic filing. Ability to create, compose, and edit written materials. Proficiency in using Microsoft Office Suite and Teams.
Essential Functions:
Provide administrative support services to the Dean & Faculty of nursing and arts and sciences.Composes and prepares written documentation, letters, memoranda, and other documents in an accurate, clear, and professional manner. Creates and maintains forms, spreadsheets, or other tracking documents as needed to facilitate workflow, tacking, and scheduling.Coordinates and schedules meetings appointments for Dean and faculty. Reserves meeting rooms, arranges set up, and orders catering. May serve as note taker and provide administrative support and follow up on matters arising from meetings.Gathers, enters, and/or maintains faculty records and student faculty files.Assists with accreditation and regulation requirements.Maintains and updates the nursing student handbook in collaboration with nursing leadership.Coordinates day-to-day management of supplies, office placements, and equipment for faculty.Notifies Campus Security when guests are expected.Prepares informational packets for external guests as needed.Clinical and Epic Module Administrator: Creates student clinical spreadsheets and sends them to the appropriate people at Carle Health. Answers student and faculty questions related to log in and passwords. Sends Clinical and Epic log in information to faculty and students as needed.
Serves as the first back-up to the Office of the Chancellor when the Executive Assistant is out of the office as requested and other duties as assigned.
