Customer Service Specialist
Location: Florence, KY
Mission:
The Customer Service Specialist plays a pivotal role in processing customer orders, managing order entry, and scheduling shipments promptly. This position involves executing essential functions to meet customer requirements while providing order and information support to assigned Customer and Rep Territories. The Customer Service Specialist handles inquiries, orders, complaints, and returns with a commitment to delivering high-quality service.
Responsibilities:
Coordinate orders and shipments effectively between Manufacturing and customers.
Collaborate with various departments, including credit and collections, sales, shipping, and purchasing, to ensure efficient and timely customer service.
Track and report delivery dates, anticipated delays, and conflicting terms and conditions to customers and sales staff.
Utilize Manufacturing System principles and tools to drive continuous improvement where applicable.
Process customer inquiries, quoting prices, delivery information, and terms.
Handle phone, fax, and email inquiries, discussing customers' needs, and recommending suitable products. Refer advanced inquiries to the appropriate sales representative, Technical Sales, or Product Champion.
Enter orders promptly, review and schedule e-commerce orders, and coordinate new customer setups with the Credit Department.
Respond to complaints, coordinating responses with responsible departments.
Communicate the status of delayed orders, back orders, or the necessity of substitutions.
Perform essential administrative functions, such as scanning/indexing paperwork and releasing RMAs into Swecare.
Manage customer portals by processing and acknowledging purchase orders promptly.
Calculate list prices using provided tools and compare list prices vs. costs to ensure maintained profit margins.
Handle other assignments as required.
Demonstrate the ability to perform mathematical computations related to pricing and cost.
Skills and Working Experience:
Previous working experience in a manufacturing environment.
Proficient in Microsoft Office.
Ability to understand and perform basic mathematical calculations.
Strong communication skills.
Positive service attitude.
Strong multitasking skills.
Attention to detail.
Education, Experience, and Qualifications:
High school education or equivalent; advanced education is preferred.
1-3 years of general customer service experience.
Evidence of mechanical aptitude.
Ability to handle high-pressure situations.
Strong phone and interpersonal skills.
Candidates must be able to legally work and reside in the US, without sponsorship.
Other Responsibilities – Safety, Health, and Environmental:
Enter the assigned number of HSE reports (RIR, OI, SQ, etc.) and maintain >90% on assigned certification requirements.
Ensure that all activities are conducted in a healthy, safe, and environmentally responsible manner.
Educate and influence yourself and other employees to embrace health, safety, and environmental policies, practices, and procedures.
